Full Time

The Adventure Care Administrative Assistant supports the daily operations of Adventure Care (Before & After School, 21st Century Community Learning Center (21CCLC) Grant, and Vacation Fun Days) and Adventure Camp (Summer) programs. The Adventure Care Administrative Assistant provides administrative, clerical, and programmatic support to ensure smooth, efficient operations, accurate recordkeeping, and a positive experience for families, staff, and participants. The Adventure Care Administrative Assistant also assists with supervision, customer service, and childcare support as needed to maintain a safe and welcoming environment. 

WHAT YOU’LL DO
Administrative Support
  • Maintains accurate billing, payment processing, and account reconciliation for all Adventure Care and Adventure Camp participants.
  • Processes childcare assistance hours, attendance records, and payments in a timely and accurate manner.
  • Maintains program files, forms, and documentation in compliance with district and licensing requirements.
  • Supports registration, enrollment, and communication processes with families and staff.
  • Assists in the preparation of reports, correspondence, and promotional materials as directed by the Adventure Care Supervisor and Adventure Care Coordinator.
Operational Support
  • Assists in the coordination and organization of daily school-age and camp activities.
  • Helps schedule and facilitate staff meetings, trainings, and events.
  • Support staff supervision and coverage as needed, including filling in for early morning and afternoon care shifts.
  • Monitors program supplies and assists with inventory and ordering.
  • Maintains accurate records of staff schedules, attendance, and certifications.
Customer Service & Communication
  • Serves as a first point of contact for families, staff, and community members.
  • Provides excellent customer service through professional, friendly, and timely communication.
  • Supports parent inquiries regarding billing, schedules, and program information.
  • Assists in creating and maintaining positive relationships between the program, families, and community partners.
Childcare & Safety Support
  • Supports program activities and supervision of children as needed.
  • Ensures the safety and well-being of all participants in both school year and summer programs.
  • Models positive behavior, engagement, and leadership with participants and staff.
Additional Responsibilities
  • Attends meetings and trainings as requested by the Director of Community Services, Adventure Care Supervisor, Adventure Care Coordinator, and Family & Youth Program Manager.
  • Performs additional duties and responsibilities as assigned.
WORK SCHEDULE
  • Year-round, full-time.
  • Variable schedule, Monday – Friday. 
  • Hours will vary between 6:15 am – 6:00 pm, generally 8-hour shifts.
WHAT YOU’LL RECEIVE
  • $19.00 per hour.
  • Paid time off including 15 paid time off days, 15 vacation days, and 9 holidays (prorated from start date through June 30, 2027).

WHAT IT TAKES
  • High school diploma or equivalent required.
  • Minimum of one year of experience in childcare, camp, or educational setting preferred.
  • Associate degree in secretarial or administrative field preferred but not required.
  • Prior experience in office administration, bookkeeping, or customer service required.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic accounting or registration software.
  • Strong organizational, communication, time management, and interpersonal skills required.
  • Ability to interact effectively and compassionately with children, families, and staff.
  • Current CPR/AED/First Aid certification or ability to obtain within three months of hire.
  • Ability to work flexible hours, including occasional early mornings, evenings, or special events.
