About the District

Washington-Caldwell is a small, close-knit Wisconsin school district serving approximately 200 students and 35 staff members. We are seeking a detail-oriented, trustworthy professional to manage the district's day-to-day financial operations.

Position Summary

The District Bookkeeper is responsible for the district's operational financial functions, including accounts payable, payroll, bank deposits, and the maintenance of revenue and expense records. This is a hands-on role and the primary financial operations position in the district. The annual budget is developed by the Superintendent in consultation with an outside education agency; this position supports that process by providing accurate financial data and records.

Essential Duties and Responsibilities

  • Process accounts payable: review invoices, obtain approvals, prepare and issue payments, and maintain vendor records.
  • Administer payroll: prepare payroll runs, process deductions and withholdings, manage payroll taxes and reporting, and maintain employee payroll records.
  • Prepare and make bank deposits; reconcile bank statements and district accounts.
  • Maintain accurate revenue and expense records in accordance with Wisconsin Uniform Financial Accounting and Reporting Standards (WUFAR).
  • Conduct account coding, journal entries, and general ledger maintenance.
  • Maintain accurate records of grant revenue and expenditures, including tracking against budgets, deadlines, and required documentation.
  • Provide financial reports and data to the Superintendent as needed.
  • Assist with state and federal financial reporting requirements.
  • Support the annual audit by preparing schedules and documentation.
  • Maintain confidentiality of financial, payroll, and personnel information.
  • Perform other related duties as assigned.

Minimum Qualifications

  • 2-3 years of bookkeeping or accounting experience, preferably in a school district, municipality, or public-sector setting; an equivalent combination of education and experience may be considered.
  • Associate or bachelor's degree in accounting, finance, or a related field preferred.
  • Working knowledge of WUFAR, or the ability to learn it quickly.
  • Proficiency with accounting/payroll software and spreadsheets (e.g., Excel, Skyward, or similar).
  • Strong attention to detail, accuracy, and organizational skills.
  • Ability to handle confidential information with discretion.
  • Ability to work independently as the district's sole financial operations staff member.

Preferred Qualifications

  • Experience with Wisconsin school district finance and state reporting.
  • Familiarity with Skyward as the school accounting system.
  • Payroll processing experience, including tax filings.

Compensation and Benefits

Salary commensurate with experience, within the district's established salary range.

Wisconsin Retirement System (WRS): Eligible for participation in the state's public pension system, with employer and employee contributions.

Health Insurance:  Participation in the district's group health plan, with employer premium contribution.

Paid Time Off (PTO):  12 paid days off annually, accrued over the course of the year and subject to the district's PTO policy regarding scheduling and carryover.
