The Events & Scheduling Coordinator will ensure the Greenheck Turner Community Center meets community needs by providing opportunitites for all in the areas of recreation, wellness, athletics, and social activitites, while providing excellent customer service for events, prior to, during, and post-event.
WHAT YOU’LL DO
- Serves as the point of contact for events, prior to, during, and post-event, to ensure customer/renter and organizational success (events include tournaments, banquets, practices, etc.).
- Anticipates the needs of the customer/renter and works collaboratively with others including volunteer boards, students, community members, coaches, and staff.
- Contacts the organization for additional information and needs and communicates this to the staff after an event is booked.
- Communicates with the Hospitality & Concessions Coordinator regarding events that are requesting concessions at the Greenheck Turner Community Center.
- Works with the Events Department and staff to coordinate each event's needs, such as set-up, AV/IT, bleachers, nets, tables, logistics, and tear down, etc.
- Coordinates staff and schedules building monitors/events staff for upcoming events, including set-up, event supervision, building needs, cleaning, tear-down, and special requests.
- Provides quality customer service during events which include nights and weekends.
- Handles all issues, questions, and inquiries if problems arise to help events run smoothly and delegates when opportunities arise along with supervisor and manager.
- Communicates with, meets, provides service, and follows up with event customers before, during, and after event to review quality of service which includes nights and weekends.
- Assists supervisor with data entry, in REC DESK (software program) to ensure event space is reserved appropriately, specifically, for the GTCC building(s).
- Provides facility rental information via email and over the phone.
- Offers facility tours and event planning meetings as requested by customer/renter.
- Operates the web-based facility reservation system and coordinates online scheduling for customers.
- Enforces the rules and regulations for facility use of school district & Greenheck Turner Community Center facilities.
- Cleans after an event to ensure the space and building is ready for the next customer/renter.
- Maintains relations and open lines of communication with volunteers, community groups, organizations, athletic department, school representatives, and community services participants.
- Works with the Events Department to provide positive budgeting according to annual budget.
- Attends meetings as requested by the Director of Community Services and the Marketing, Events, & Experience Manager.
- Interviews, hires, trains, and supervises Building Monitors with support from supervisor and manager.
- Performs additional duties and responsibilities as assigned.
WHAT YOU’LL RECEIVE
- $24.00 per hour.

WHAT IT TAKES
- High school diploma or equivalent required.
- One to three years of event planning or related experience highly preferred.
- Strong organizational and planning skills with the ability to coordinate multiple stakeholders effectively.
- Ability to work in a fast-paced environment while handling multiple tasks.
- Flexibility to work varied hours, including days, nights, weekends, and holidays.
- Excellent communication and problem-solving skills.
- Proficiency in data entry and general computer/technology skills, including familiarity with POS systems.
- Demonstrated leadership skills, including the ability to delegate and oversee event setup and teardown.
Physical Requirements:
- Ability to frequently lift, carry, push, pull, and perform tasks involving bending and stooping.
- Ability to lift and carry up to 60 pounds.
- Ability to stand and remain on feet for extended periods of time.
