This Administrative Assistant serves as the primary confidential support professional for the District Administrator and the Board of Education. This role acts as a liaison between the district’s leadership, staff, and the community, ensuring efficient administrative operations and compliance with legal requirements for board governance.

 

The ideal Administrative Assistant will be a trustworthy and caring individual with strong organization and communication skills that is passionate about helping others. Support for District Administrator:

  • Prepare, edit, and proofread high-level correspondence, reports, and presentations.

  • Serve as the primary point of contact for internal and external stakeholders, screening inquiries and resolving issues when appropriate.

  • Handle sensitive and confidential information related to district operations, personnel, and legal matters.

  • Assist with managing the District Administrator’s calendar, daily scheduling and tasks.

  • Assist in the planning and execution of district-wide events, recognition programs, and community forums.

  • Maintain official district records, archives, and contracts.

  • Ability to create visually appealing layouts for newsletters, flyers, and other items using standard digital publishing tools.

Support for Board of Education Governance:

  • Coordinate the preparation and distribution of Board meeting agendas and digital packets via platforms like BoardDocs.

  • Attend all Board meetings (including evening sessions) to take and maintain official minutes of the meetings.

  • Ensure district compliance with Open Meetings Laws and public records request protocols.

  • Manage the board’s policy manual, overseeing updates in coordination with legal counsel or associations.

  • Coordinate school board elections, including candidate filings and legal postings.

  • Education: Preferred Associate's or Bachelor’s degree in Business Administration, Communications, or a related field; High School Diploma required.

  • Experience: 3+ years of administrative assistant support, preferably in K-12 education or public sector governance.

  • Technical Skills: Proficiency in use of Google Workspace, and board management software.

  • Communication: Exceptional written and verbal communication skills with a focus on professionalism.

  • Discretion: Demonstrated ability to maintain absolute confidentiality regarding personnel and legal issues.
