Position Details
The Athletics and Activities Coordinator will play a vital role in supporting the Athletics Director by coordinating and managing day-to-day logistics within the department. The Coordinator will be the primary point of contact for students by coordinating communication and guidance related to eligibility, recognition, and postsecondary pathways, while fostering leadership development and ensuring students are prepared, informed, and connected to athletic and extracurricular opportunities. The role will develop and manage marketing efforts and social media presence for the department. The Athletics and Activities Coordinator will also assist the Director with the recruitment, coordination and supervision of staff, advisors, coaches, event personnel and volunteers. In addition, this role will manage the department budget and ensure financial processes are followed to fidelity.
- Assists the Athletics and Activities Director with the efficient operation of the Athletics and Activities Department.
- Coordinate and manage logistics for events including schedules, officials, event workers, facilities, equipment and transportation.
- Ensure seamless game-day operations and readiness for events and activities.
- Implement and refine processes to improve operational efficiency and consistency across athletic programs and extracurricular activities.
- Maintains records, documents, or other files related to the department.
- Maintains knowledge of laws or regulations pertaining to athletics.
- Provides superior customer service through all communication with athletes, parents, coaches, and the general public.
- Serve as a primary point of contact for student-athletes, fostering leadership development, college readiness, and recognition for athletic achievement.
- Coordinate communication regarding student eligibility, rosters, awards, and progression to collegiate athletics.
- Provide guidance and support to ensure student-athletes are prepared, informed, and connected to opportunities.
- Monitors the academic eligibility of student athletes and athletes' use of equipment to ensure safe and proper use.
- Manage athletics-related communications, including social media, website updates, and digital marketing initiatives.
- Promote student-athlete achievements, team successes, and department initiatives to strengthen community engagement and visibility.
- Develop and manage revenue-generating partnerships, including advertising, sponsorships, and booster club initiatives.
- Assist with recruitment, scheduling, and coordination of coaches, event workers, and volunteers to ensure operational coverage.
- Support the Athletic Director in supervising and managing coaching staff and program personnel.
- Facilitate training, communication, and alignment with departmental standards and policies.
- Oversee department spending and budget adherence, including credit card oversight, receipts, tournament fees, and equipment purchases.
- Develop financial accountability standards for coaches and advisors while supporting their work in managing budgets and finance.
- Ensure financial processes are accurate, timely, and aligned with district policy.
- Operations and Event Management: Coordinate and manage logistics for all athletic events and extracurricular activities; including schedules, officials, workers, facilities, equipment, and transportation; while ensuring operational efficiencies and quality experiences across athletic and extracurricular programs.
- Student Support and Development: Serve as the primary point of contact for students by coordinating communication and guidance related to eligibility, recognition, and postsecondary pathways, while fostering leadership development and ensuring students are prepared, informed, and connected to athletic and extracurricular opportunities.
- Communications and Community Engagement: Develop and manage communications and marketing efforts across athletics and extracurricular programs to highlight student achievements, strengthen community engagement, and support revenue-generating partnerships.
- Staff and Volunteer Coordinator: Support the Athletic & Activities Director with the recruitment, coordination, supervision, and development of staff, advisors, coaches, event personnel, and volunteers across athletics and extracurricular programs.
- Financial Management: Manage budgets including credit card reconciliation and ensure financial processes are followed to fidelity.

Required: Bachelor’s degree in Business, Communications, Sports Management, Physical Education, Recreation Management or a related field. Demonstrated knowledge of WIAA rules and regulations, experience coaching athletics and refereeing sports, experience with event coordination and project management, working in youth sports programming or athletic administration.
