Full Time
Under the direction of the Director of Technology, ensures the smooth and efficient operation of the Technology Department office.

1.  Performs typical office routines and practices associated with a busy, productive, and smoothly run office. (Communication, proofread documents, maintain files, building scheduling, order supplies as needed, and keep department records, including various meeting minutes, etc.)

2. First-level support for the Technology Department.  Field questions regarding the phone system, internet, computer hardware, and various software problems. Directs technical issues to the appropriate department staff.

3.  In coordination with the Student Database Manager:

         a. Assists in the import and export of data as needed internally and externally, including the interchange of data with numerous third-party databases, including but not limited to: Clever, Renaissance Place, Destiny Follett, Canvas, EduClimber, and various other databases. 

        b. Assists in the implementation of new software and modifications to current software and databases.

        c. Assists with data verification and accuracy in various third-party systems.

        d. Assists in database systems clean-up and removal of deactivated users. 

4.  Oversees all aspects and communications on ParentSquare.

         a. Athletic and Activity Registration

         b. Maintenance of student groups

         c. Promote and maintain the WRPS Community Group

5.  Oversees all aspects of ID badge creation and key card access, including but not limited to:

         a. Management of Active Directory Security User groups.

         b. Printing and activating of badges.

         c. Maintaining users and their credentials in the Genetec software system.

6.  Oversees all aspects of Infosec IQ Cybersecurity training for staff. 

7. Communicates with vendors, receives quotes, and processes requisitions for all Technology purchases district-wide.  Provides information and/or makes suggestions to inquiries regarding technology and/or the potential purchase of technology equipment.  

8.  Utilizes specialized equipment, i.e., laptops, Chromebooks, iOS devices, smartphones, tablets, etc.

9.  Starts and oversees the inventory of equipment and supplies. Maintains inventory of all Microsoft Licenses (OS, Office, etc.) and other software licenses as needed.   

10. Maintains a detailed budgetary record for the department, including processing all department bills and invoices.

11.  Communicates with vendors and arranges for repair and/or processing of RMAs for the department.

12. Handles communication tasks for the office, including phone messages, calendars, mail pickup/delivery, and communication with Central Office.  Additionally, handles the check-out of laptops, iPads, tablets, and other Technology Department items. 

13. Maintains Google Mail groups, phone settings, and enters personal leave for the department.

14.  Assists with Ellison Dies cataloging and check-out.

15.  Processes print usage reports for buildings and shares them out quarterly. 

16.  Takes minutes for all department, Cadre, and ITC meetings and distributes them in a timely fashion.

17. Oversees Central Oaks Academy computer check-out and computer check-in.

18.  Coordinates electronic recycling pickup and all junk sales. 

19.  Assists in the coordination of the WRPS Summer Institute and other technology-related Professional Development. 

20.  Assists in updating and maintaining certain aspects of the WRPS webpage. 

21.  Updates and maintains WRPS Branding Guide.

22.  Generates Technology Department newsletters and creates technology-related tip sheets and resources.

23.  Performs other duties related to the position as directed by the Director of Technology.

TERMS OF EMPLOYMENT:          

Twelve months, eight hours per day. Modifications to the daily schedule to accommodate tasks performed beyond the school day to be arranged with the Director of Technology.  Other terms of employment will be determined by the Board of Education in accordance with the terms of the Employee Handbook.

EVALUATION:       

Performance of this job will be evaluated in accordance with provisions of the Board’s policy on Evaluation and Support Services Personnel.

SALARY:      

This position is paid at an hourly rate and the rate is set annually by the Board of Education in accordance with the terms of the Employee Handbook.   

BENEFITS:   

Commensurate with other administrative assistant positions.  Further terms of employment and benefits are identified in the Employee Handbook. 

PHYSICAL DEMANDS:     

  1. Ability to lift in excess of 25lbs, but not to exceed 50lbs.
  2. Ability to squat, reach, lift, extend to move or install cords, equipment, connections and various other network related components.
  3. Ability to sit/stand and type for extended periods of time.

 

1.  High school diploma and post high school secretarial education and/or equivalent experience.  Two-year associate degree preferred.

2.  Ability to maintain confidentiality and work independently.

3.  Good human relations skills and the ability to communicate effectively.

4.  Basic knowledge of office machines.

5.  Experience with computers and word processing, spreadsheet and database software.

6.  General knowledge of MS Office Suite, Google Workspace for Education, Skyward Qmlativ software and general software systems knowledge.
