$17.88/hour to start, increase to $18.82/hour after 60 day probation period
7.5 hours/day, 11 months per year
Full Time
PURPOSE: To maintain and complete accurate student records for every student in the school, and to assist the administration and Pupil Services department.
PERFORMANCE RESPONSIBILITIES:
1. Inputs, processes, updates and maintains data base using computer regarding student and teacher scheduling, grading, and student records.
2. Performs major portion of clerical functions connected with student scheduling.
a. Builds and maintains courses for the master schedule, enters course numbers and student number.
b. Enters all new students, processes drops and adds, processes transfers.
c. Updates student directory information (addresses, phone numbers, etc.).
d. Prints and distributes various schedule/grading reports.
e. Assists principal with scheduling tasks. Assists with the preparation of Master Schedule. Process student course and class changes including verifying and updating each years’ course master, assigning students’ team designations and
adjusting course requests for special education, ELL, and intervention classes. Also assists with generating the student schedules and assisting with student schedule conflict resolution.
f. Maintains current room utilization records.
g. Edits individual schedules as appropriate.
3. Handles all student registrations and withdrawals.
a. Registers new students to WRAMS. Inputs all registration data into Skyward. Communicates with parent as to starting date. Requests school records from new students’ previous school including IEPs if a special education student.
Builds class schedule for new student. Assists parent with their Skyward login/password.
b. Withdraws students off Skyward once record request is received. Prints off school records and pulls cum file to send to new school.
c. Process transfers to and from Central Oaks Academy.
d. Documents expulsion information in Skyward and district spreadsheet.
4. Maintains cumulative files on all students including filing all student information into the files.
5. Edits family information after verifying all supporting documentation related to the circumstances. Supporting documentation (court order, placements, etc.) is uploaded into Skyward.
6. Uploads all Releases of Information from various agencies and provided records upon requests.
7. Posts grades for all grading periods, makes needed grade changes, and prints all grade reports including uploading report cards at the end of each trimester.
8. Maintains accurate class rosters and provides to staff upon request.
9. Maintains communication with bus companies regarding new students, change of addresses, and withdrawn students.
10. Completes September and January state funding enrollment report for WRAMS.
11. Provides enrollment counts to Central Office at beginning of school year.
12. Coordinate with parents/guardians and students for issuing bus passes.
13. Accesses incoming faxes and distribute to appropriate staff. Send faxes that need to be sent.
14. Provides cumulative GPA lists for 8th grade recognitions and as needed.
15. Provides Grade Analysis Reports to administration.
16. Assists with orientation, open house and parent/teacher visitation – handing out schedules, progress reports, etc.
17. Assists in typing tasks and proofreading from administrators upon request.
18. Performs additional duties as assigned and directed by building administrators.

1. High school diploma and post high school secretarial education and/or equivalent experience.
2. Ability to maintain confidentiality and work independently.
3. Good human relations skills and the ability to communicate effectively.
4. Basic knowledge of office machines.
5. Typing (50 wpm), experience with computers and word processing, spreadsheet and database software.
