CESA 10 is seeking a full-time Administrative Assistant for the Special Education/Pupil Services Department based in Chippewa Falls. The Administrative Assistant will have a thorough knowledge of office routines. As the lead support professional, the assistant will coordinate a full range of support for one or more persons and multiple programs, as assigned within the department. Duties and responsibilities may vary periodically in relation to department focus and assigned function. A major focus of this position is to provide School-Based Services/Medicaid data collection and submission for all participating districts in CESA 10. 

Candidates are required to have an associate degree in a related field or five years of comparable experience.  Prior experience with software administration, claim submission, and Public Consulting Group (PCG) reporting is desired.  Additional experience with other school system software is preferred.  Experience and knowledge in Microsoft Office Suite, Google platforms, in the use of databases and data management, and experience in the use of internet-based reporting and information retrieval.

Employment Status: This is a full-time (261-day) position.

Compensation and Benefits: Compensation is negotiable. Benefits are as defined in the CESA 10 Employee Handbook.

Education, Training, Experience:
  • Associate degree in a related field or recent years of comparable experience
  • Experience and knowledge in Microsoft Office Suite and Google platforms
  • Experience in the use of databases and data management
  • Experience in the use of internet-based reporting and information retrieval

Performance Responsibilities:
  • Provide clerical support for the Executive Director of Special Education/Pupil Services.
  • Provide leadership for both internal and external department communication and marketing as directed.
  • Provide School-Based Services – district attendant care training, software administration, claim submission, and PCG reporting.
  • Provide SEEDS software support.
  • Maintain itinerant caseloads.
  • Provide projections for itinerant services.
  • Coordinate department billings.
  • Conduct district site visits upon request to review school-based services, SEEDS, and other department services.
  • Provide virtual administrative assistant services to districts as needed.
  • Route incoming department correspondence.
  • Support event creation, registration, and activities connected to professional development.
  • Perform other duties as assigned by the Executive Director.
