The School District of Spencer is seeking a highly organized, dependable, and friendly individual to serve as the Middle/High School Office Administrative Assistant & Substitute Coordinator. This dual-role position is essential in ensuring the smooth daily operation of the school office while also managing substitute staffing needs to support instructional continuity.

The ideal candidate will thrive in a fast-paced school environment, possess excellent communication and organizational skills, and demonstrate a commitment to fostering a welcoming, efficient, and professional school atmosphere.

Key Responsibilities:

Administrative Assistant Duties:

  • Provide administrative and clerical support to the school principal, staff, students, and families.

  • Serve as a welcoming first point of contact for visitors, students, and parents.

  • Manage incoming calls, emails, and other communications.

  • Maintain accurate student records and files in accordance with district policies and regulations.

  • Assist with attendance tracking, student check-ins/outs, and daily office operations.

  • Support scheduling, coordination of school events, and communication efforts.

  • Coordinate open enrollment and homeschool reporting.
  • Other duties as assigned.

Substitute Coordinator Duties:

  • Manage daily substitute assignments for all school staff requiring coverage.

  • Maintain and update substitute availability lists and contact information.

  • Communicate with substitutes to ensure proper staffing and coverage for classrooms and support positions.

  • Coordinate with district administration regarding substitute processes and systems.

  • Provide orientation and support to new substitutes as needed.

Qualifications:

  • High school diploma or equivalent (Associate degree preferred).

  • Previous administrative, clerical, or office management experience, preferably in a school setting.

  • Strong organizational skills and attention to detail.

  • Excellent verbal and written communication skills.

  • Ability to maintain confidentiality and handle sensitive information with discretion.

  • Proficiency with standard office software (Microsoft Office, Google Workspace, etc.).

  • Ability to multitask and work effectively under pressure.

  • Positive attitude, professional demeanor, and ability to work collaboratively with staff, students, and families.
