The Kettle Moraine School District (KMSD) cultivates academic excellence, living out our vision to prepare, inspire, and empower all 3,500 students within KM. Covering 90 square miles, the District serves all or portions of the following municipalities: City of Delafield, Town of Delafield, Village of Dousman, Town of Eagle, Town of Genesee, Village of North Prairie, Town of Ottawa, Town of Sullivan, Village of Summit, and Village of Wales. Role and Responsibilities
The District seeks a Payroll Support Specialist for the Kettle Moraine School District for the 2025-2026 school year.
Key Responsibilities:

Process semi-monthly payroll transactions for all district employees under the direction of the Payroll & Benefits Manager.

Enter, verify, and maintain employee earnings, deductions, stipends, extra duty pay, substitute pay, and other payroll-related transactions.

Maintain accurate employee payroll records in Skyward, including time sheets, leave usage, and pay codes.

Assist with employee onboarding by setting up payroll records, retirement contributions, and benefit deductions.

Review, verify, and reconcile substitute teacher and paraprofessional hours prior to payroll processing to ensure accurate and timely payment.

Serve as a day-to-day liaison with Kelly’s Education to coordinate substitute assignments, resolve discrepancies, and align time and pay records between systems.

Validate substitute payroll data by comparing Kelly’s Education reports with Skyward records and district timekeeping systems.

Maintain documentation and audit trails related to substitute time, assignments, and payroll approvals.

Serve as a first point of contact for employee questions related to daily absences and sub coverage

Assist with payroll corrections, retroactive pay, and adjustments as needed.

Prepare payroll data and reports to support audits, reconciliations, and compliance reviews.

Support the Payroll & Benefits Manager in benefits processing, enrollment changes, and documentation.

Ensure accuracy, timeliness, and confidentiality in all payroll and benefit operations.

Perform other payroll and benefits support duties as assigned.
Required Education, Experience, and Credentials

Education: Associate’s or Bachelor’s degree in a related field preferred. Equivalent experience considered.

Experience: Prior experience in payroll, benefits administration, or business office functions preferred.

Strong knowledge of payroll systems, accounting principles, and Wisconsin school district payroll and benefits procedures.

Technical Skills: Experience with Skyward financial management software strongly preferred. Proficiency in Microsoft Office Suite, Google Workspace, and payroll-related systems.

Attention to detail, critical thinking, and analytical skills.

Ability to work with a high degree of accuracy under pressure and handle deadlines.

Excellent problem-solving, organizational, and communication skills.

Ability to maintain strict confidentiality and professionalism in handling sensitive information.
