The School District of Whitefish Bay is looking for our next exceptional Administrative Assistant (Attendance/Discipline) assigned to Whitefish Bay High School. This is a full-time, benefit eligible, 10 month position.

RESPONSIBILITIES:
 
  1. Maintain school-home contact through a call-in system (parents call in the morning to excuse student absences for the day) for attendance issues. This includes incoming calls throughout the day. Accurately code absences in the Skyward.
  2. Act as an information source for parents/guardians when contacting school by telephone, written correspondence, or email on matters of attendance and discipline. Act as information source to school counselors and administrators district-
  3. wide on matters of attendance, discipline, and at-risk student concerns. Follow up with students as directed regarding discipline consequence status.
  4. Maintain and operate the computerized phone notification system. Place follow up calls to homes in a timely manner when call-ins for absences have not been received.
  5. Maintain attendance records for the entire student body, monitor attendance for potential attendance issues – report to Associate Principal.
  6. Provide students with building passes to leave the premises and readmit slips.
  7. Monitor visitor entry into the building via visitor management system (Raptor) and the buzz in system.
  8. Demonstrate proficiency in running Skyward reports that need to be generated for attendance and discipline, mailing address labels, invoices, and other reports needed by the Associate Principal.
  9. Maintain files on the entire student body in connection with parent/guardian correspondence, field trip information, medical excuses, college visitations, and personal leave.
  10. Assist in maintenance of school textbook inventory and check in/out procedure (both physically and in Skyward). Order (text)books and manage online subscriptions/licenses as needed.
  11. Assist with student orientation programs and coordinate student shadows through the year.
  12. Serve as the main contact for bus companies and all matters concerning daily busing for students.
  13. Run bus drills as needed.
  14. Work with the bus company to coordinate accurate attendance for students who ride the bus.
  15. Prepare and maintain all student awards.
  16. Prepare required forms for attendance and discipline procedures to include truancy tracking letters and excessive tardy letters.
  17. Process, distribute and maintain student ID’s.
  18. Ensure that every student has signed off that they have the handbook/code of conduct. Including students new to the school and who enroll throughout the year.
  19. Assist AP in record keeping and communication around the annual awards convocation.
  20. Other duties as assigned.
  • Excellent interpersonal and written communication skills working with a diverse group of people which includes students, parents/guardians, staff, and the general public.
  • Ability to deal with a large volume of office traffic, primarily students.
  • Must be able to multi-task and independently problem-solve based on in-depth knowledge of policies and procedures.
  • Telephone etiquette to greet people and handle a variety of situations.
  • Proficient in handling a large volume of calls in a short period of time while maintaining accuracy of information received.
  • Computer knowledge including Microsoft Office products (excel, word, etc.), Google Apps for Education, and Skyward preferred.
  • High school diploma or equivalent office/customer service experience. Previous experience in educational setting preferred.
