Job Goal:  To maintain a well-organized and efficiently operating business office. 
 
Basic Functions:  To perform a variety of administrative tasks requiring individual initiative and judgment based on the knowledge of procedures and policy pertaining to the school district. 
 
Qualifications:  
High School diploma or GED equivalent with specialized course work in general office and accounting practices. 
Experience working in Accounts payable and Payroll. 
Ability to handle confidential information and materials.
Ability to handle stressful situations. 
Ability to effectively meet and deal with the public.
Willingness to obtain additional training to enhance job performance or meet changing job requirements. 
Ability to perform essential functions of the position. 
Knowledge of Skyward Financial Management software
 
Reports to:  Superintendent or Financial Manager
 
Responsibilities:
 
Purchasing:
Order teacher/classroom supplies
Order textbooks and other general office/school supplies
Process purchase orders
Maintain open purchase order files
 
Accounts Payable:
Process invoices for payment
Collect W-9’s and certificate of insurance from contractors
Code vendor payments for 1099 processing according to IRS guidelines
Process employee expense reimbursements
Reconcile Credit Card statements with statements/receipts and enter into Skyward
Generate and distribute checks for payment including positive pay upload
Maintain files for subscriptions and curriculum vendors
 
Accounts Receivable:
Create and send invoices for payment
Enter cash receipts in Skyward
Prepare bank deposits
Maintain and ensure internal control procedures
 
Payroll:
Set up new employees/terminations in Skyward
Process background checks for staff and parents/volunteers
Enroll, change or terminate employee benefits
Maintain confidential correspondence
Maintain records of staff personnel files and related employment records
Process hourly and salaried employee payroll, benefits, deductions, garnishments, etc.
Pay and reconcile payroll payables including federal and state taxes, retirement contributions and garnishments
Maintain employee time off, absences and leave tracking
Prepare fiscal year end and calendar year end processing
 
Assist Financial Manager with annual audit 
Scan and convert physical documents into digital formats
Assist with other departments and office responsibilities when needed
 
 
Terms of Employment:  Salary and work year to be established by the Board
 
Evaluation:  Performance of this job will be evaluated in accordance with provisions of the Board’s policy on evaluation of support staff.
