Chippewa Falls Senior High School is seeking an organized and detail-oriented Attendance Secretary to support the accurate and timely recording of student attendance. This essential role ensures strong communication between families, school staff, and external agencies. The Attendance Secretary manages daily attendance operations, identifies and reports attendance concerns, supports event-based and athletic attendance tracking, and plays a key role in data monitoring and communication.
Key Responsibilities:
- Receive and process attendance calls and messages from parents and guardians, ensuring accurate documentation in the student information system.
- Monitor daily student attendance and identify attendance patterns or concerns, escalating issues to the appropriate school personnel or student support teams.
- Communicate with students, staff, and families to clarify absences and ensure accurate record-keeping.
- Input and manage special events, field trips, and athletic attendance data.
- Track and assist with the school’s responsive scheduler system to support interventions and flexible scheduling needs.
- Take and verify attendance for substitute teachers across the building each day.
- Prepare and submit daily or weekly absenteeism reports to the local public health department as required.
- Collaborate with school staff, counselors, and administrators to support attendance initiatives and truancy interventions.
- Maintain confidentiality and comply with all school and district policies regarding student data and communication.
Qualifications:
- High school diploma or equivalent required; associate’s degree or relevant certification preferred.
- Strong interpersonal and communication skills, including the ability to interact professionally with students, staff, families, and public health officials.
- Excellent organizational skills and attention to detail.
- Proficient with computers, attendance software, and Microsoft Office Suite (especially Excel and Outlook); experience with student information systems (e.g., Skyward, Infinite Campus, or similar) is a plus.
- Ability to handle multiple tasks in a fast-paced environment with professionalism and confidentiality.
- Knowledge of school attendance policies and state reporting guidelines preferred.
REQUIRED:
• High School diploma (or its equivalent) with PREFERRED education in an associate degree administrative assistant program through a technical college.
• Ability to demonstrate general clerical, word processing, database and spreadsheet software skills.*
• Strong communication and interpersonal skills with the public, staff, students, and parents.
• Excellent computer knowledge, skills and experience.
• Strong telephone skills and etiquette.
• Ability to maintain confidentiality.
• High ability to multi-task.
• Ability to maintain complex clerical records and prepare reports from such records.
• Demonstrated ability to type 65 wpm.
• Highly accurate when working with student records.
• Ability to update and post items to a webpage.
• Willing to be trained in CPR and first aid.

• Knowledge and competence when working with the District student management systems.
