ORGANIZATIONAL RELATIONSHIP

Reports and accounts to the Director of Business Operations.  

 

POSITION FUNCTION

To support the efficient and effective operation of the district’s Business Operations, ensuring it fulfills its essential role in the educational process. This position is responsible for performing the necessary processes of payroll in a regular and timely manner according to school board policies. This person also serves on the Business Operations Team and is a key partner to the Director of Business Operations — functioning as a right-hand support in both daily operations and strategic initiatives. The role requires working in a fast-paced environment, demonstrating creative thinking, handling confidential manners appropriately, visionary leadership, and the ability to anticipate challenges before they arise. Strong communication skills, a collaborative spirit, and the capacity to accept the responsibilities that come along with accountability.

 

PERFORMANCE RESPONSIBILITIES

  1. Promote a positive image of the District at all times.

  2. Engage with the community to develop a sense of context and an understanding of its history. 

  3. Maintain flexibility with their work schedule; this person may be required to work unique hours during busy times.

  4. Process semi-monthly payroll for professional, support, substitute, summer school and cocurricular staff. 

  5. Prepares and inputs payroll from contracts, time cards and other source documents. 

  6. Accurately handle payroll for new hires, terminations and staff on leave. 

  7. Research and respond to inquiries from district staff on payroll and time card issues. Take appropriate action to resolve problems identified. 

  8. Prepare documentation and send information electronically to our third-party 403(b) administrator (TPA). 

  9. Process and send direct deposit, tax and retirement payments electronically. 

  10. Update employee profile changes such as direct deposit, tax changes, etc, 

  11. Maintain payroll budget spreadsheets. 

  12. Prepares payroll checks, federal and state withholding vouchers. 

  13. Provide payroll liability documentation to accounts payable.  

  14. Confers with principals, supervisors and staff concerning payroll matters. 

  15. Create and maintain all personnel files; adhering to state and district requirements.

  16. Manage court ordered disbursements (i.e. garnishments). 

  17. Distributes electronic paychecks per district plan. 

  18. Process contract adjustments and retro payments. 

  19. Prepares documents for auditors as requested.

QUALIFICATIONS

  1. High School Diploma, Associate and/or Bachelor’s degree in related areas of concern.

  2. Coursework and/or experience with current technological practices.

  3. Demonstrated aptitude or competence for assigned responsibilities.

  4. Excellent communication skills.

  5. Good understanding of social media and public relations.

  6. Such alternatives to the above qualifications as the Board may find appropriate and acceptable.

PHYSICAL DEMANDS

The physical requirements indicated below are examples of the physical aspects that this position classification must perform in carrying out essential job functions. 

  • Persons performing service in this position classification will exert 10 to 20 pounds of force to lift, carry, push, pull or otherwise move objects.  This type of work involves sitting most of the time, but may involve walking or standing for brief periods.

  • Perceiving the nature of sound, near and far vision, depth perception, providing oral information, the manual dexterity to operate business-related equipment, and handle working with various materials and objects in an office environment are important aspects of this job.

  • The noise level in the work environment is usually moderate.  The employee is frequently required to interact with the public and other staff.
