The School District of Waupaca is looking for a talented full time District Administrator/School Board Assistant to support the efficient and effective operation of the District Office, ensuring it fulfills its essential role in the educational process. This position serves as the Office Manager and a key partner to the District Administrator—functioning as a right-hand support in both daily operations and strategic initiatives. The role requires working in a fast-paced environment, demonstrating creative thinking, visionary leadership, and the ability to anticipate challenges before they arise. Strong communication skills, collaborative spirit, and the capacity to delegate effectively are essential. Additionally, the role involves supporting central office functions to promote flexibility and continuity in service to the District and Board.

PERFORMANCE RESPONSIBILITIES

  1. Promote a positive image of the District at all times.

  2. Engage with the community to develop a sense of context and an understanding of its history. 

  3. Maintain flexibility with their work schedule; this person is required to be present at all School Board meetings. 

  4. Administrative assistant to the District Administrator and Board of Education.

  5. Schedule and post notices of all Board of Education and Board Committee meetings.

  6. Coordinate, prepare and post all Board of Education and Board Committee meeting agendas.

  7. Generate and upload all documentation on the District’s website for all Board meetings.

  8. Set up the WHS Community Room appropriately and attend all regular Board and Committee meetings.

  9. Write, post, and maintain minutes of all Board of Education and Committee meetings.

  10. Maintain and keep Board information up-to-date on the District website.

  11. Maintain all Board files.

  12. Serve as Deputy Clerk; coordinate and complete the School  Board member election process.

  13. Point of contact to receive the School Board election results from each of the County/City/Town Clerks on election night.

  14. Coordinate and lead the District Board of Canvassers for the School Board election.

  15. Prepare and publish all required School Board election legal notices.

  16. Maintain BoardDocs information and assist with policy revisions in BoardDocs.

  17. Create or proofread a variety of documents for the District Administrator, including confidential items.

  18. Assist the District Administrator with tracking and record keeping of staff evaluations and discipline. 

  19. Coordinate and assist with preparation for student expulsion hearings, including preparation of Notices of Expulsion Hearing and exhibit binders

  20. Place all position vacancies on WECAN, Indeed, and District website.

  21. Accept all employment applications for all positions, forward to appropriate administrator/supervisor, and maintain a master file.

  22. Maintain all employee handbooks.

  23. Maintain position descriptions and post on the District website.

  24. Prepare and publish all required annual notices.

  25. Assist District Office Core Team and other Administrative staff as necessary.

  26. Respond to many other day-to-day inquiries, both internal and external.

  27. Receive and route any incoming calls when Receptionist is unavailable.

  28. Maintain confidentiality and loyalty to the employer. 

  29. Other duties as assigned

 

General working hours are Monday through Friday, 7:30 a.m. to 4:00 p.m.; however, this person is required to attend all School Board meetings, which happen two to three times per month beginning at 5:30pm.The District offers a competitive starting wage, based on experience, with full benefits.

  1. High School Diploma, Associate and/or Bachelor’s degree in related areas of concern.

  2. Coursework and/or experience with current technological practices.

  3. Demonstrated aptitude or competence for assigned responsibilities.

  4. Excellent communication skills.

  5. Good understanding of social media and public relations.

  6. Such alternatives to the above qualifications as the Board may find appropriate and acceptable.
