The School District of Waukesha is seeking qualified individuals to apply for an Assessment Administrative Assistant position. This is a full-time, benefit eligible, 10 months/year position, with summers off! The person hired for this position will work out of our district office, and will be responsible and accountable for the planning, development, implementation and evaluation of instruments, procedures and timelines for the district’s assessment needs. The Assessment Administrative Assistant will work collaboratively with administrative and instructional staff and communicate effectively with colleagues in other districts and schools.
ESSENTIAL DUTIES AND RESPONSIBILITIES
1. Oversee District and State Assessment Administration
- Fulfill as District Assessment Administrative Assistant responsibilities as outlined by the Wisconsin Department of Public Instruction
- Work with the Technology Department to ensure student data is loaded into appropriate testing and database (i.e WDL) systems so students can test: Forward, DLM, PreACT Secure, PreACT 8/9, ACT, MAP, AimswebPlus, FastBridge, etc.
- Ensure test security
- Serve as communication link between DPI and district for assessment related matters including the transition to new State assessments
- Attend appropriate DAC training and assessment forums to stay up to date on state assessments
- Provide staff training related to administration, related to assessments
- Participate in various student data verification processes throughout the year
- Collaboratively develop a district assessment calendar
- Manage NWEA: CPAA & MAP Testing (or other district-wide assessments)
- Train teachers and school staff in administration
- Set testing windows
- Manage contract with NWEA
- Work with technology to ensure test environment is prepared for testing window, including loading of student rosters
- Manage Aimswebplus and FastBridge progress monitoring
- Prepare and send all parent communication for distribution
- Act as primary point of contact/support for questions relating to state and local assessments, including the functioning of each vendor’s assessment software
- Ensure district staff are set up and trained in appropriate testing software to proctor tests and view test results.
2. Assessment Reporting, Analysis, and Interpretation
- Review assessment scores when they become available
- Prepare Annual Assessment Summary
- Prepare special reports for administrators as requested - to include post-testing summaries of performance, future student planning data, and other data as requested
- Manage/update the school district’s assessment web page
3. Collaborate with departments to ensure that the student information system is accurate particularly as related to report card performance criteria (SPED, ELL, F/R lunch, ethnicity, CEIS, Title I, Title III)
- Review state assessment rosters for accuracy prior to sending to vendor
- Review and correct state testing data prior to closing of data review windows to help support correct reporting as it impacts the school/district report cards
- Assist schools in providing accommodation information to test vendors to ensure best testing environment for all students and required environments for students with an IEP
- Obtain training in new capabilities as they become available

Education and/or Experience:
- Associates Degree in an area that supports communication and/or data analysis or such other requirements as the Board of Education may find appropriate and acceptable
- Strong background and experience in data collection and analysis preferred.

- Ability to define problems, collect data, establish facts, and draw reasonable and valid conclusions.
Technology Skills
- Proficient level of skill in using word processing, presentation programs, database and spreadsheet programs in addition to email, telephone operation and the ability to research and analyze web-based resources of information.
