Full Time
Average 5 hours per week during the school year plus 20 hours per week during the summer school session.
  1. Serve as secretary to the 9-12 summer school principal and assist in office administration.
  2. Serve as a primary public relations representative.
  3. Screen callers, make appointments, and route incoming calls
  4. Provide information on school year and summer school policies and regulations of varying complexity.
  5. Maintain confidentiality of student and staff information at all times.
  6. Compose various types of communications to the parents and community from general instructions.
  7. Effectively and accurately perform all Skyward or Infinite Campus processes and functions in accordance with secretarial effective practices. 
  8. Manage daily attendance/lunch count and attendance reports in Infinite Campus.
  9. Assist in student registration and transferring in accordance with Wisconsin DPI Regulations.
  10. Collect data, maintain records, and prepare reports for summer school.
  11. Manage building keys, key card system, and door access. 
  12. Operate a variety of office machines and supervise use by others.
  13. Manage activity fund accounting and budget procedures for summer school.
  14. Aid students who are sick or injured in the absence of a school nurse or health assistance. 
  15. Administer medications and treatment in accordance with school district policy.
  16. Participate in summer school programs, relevant meetings and activities. 
  17. Participate in shared-decision making and continuous improvement teams.
OTHER RESPONSIBILITIES:
  1. Maintain list of all 9-12 summer school classes offered for the online registration. Include class descriptions, locations and fees, received from the high school summer school principal.
  2. Manage and update bus locations and pick up and drop off times from bus company. 
  3. Create and send summer school registration information to all Oshkosh private school secretaries. 
  4. Update and maintain master summer school schedule on IC with classes, locations, room numbers, and teacher names at the high school site.
  5. Create and maintain student rosters for summer school classes and bus/shuttle pick up locations.
  6. Create mail merge of students’ classes, room numbers, bus information and general summer school information to mail paper copies home to families and/or refine process to use existing tools used during the school year.  
  7. Create student and shuttle/bus lists for summer school principal, lead teachers, summer school site secretaries, summer school office and bus company. 
  8. Order, assemble and distribute summer school supply inventory needed at the high school summer school site. 
  9. All other duties as assigned.
  1. Ability to key accurately at a rate of 65 wpm on keyboard preferred.
  2.  High school diploma.
  3. Minimum of two years successful office or secretarial experience.
  4. Demonstrated proficiency in communication (speaking, listening, and writing), language, and mathematical skills.
  5. Ability to interact effectively with students, parents, staff and others encountered on the job.
  6. Ability to staff the position during all hours required within the business day.
  7. Computer knowledge and skill in word processing, database, spreadsheet programs, etc.; and ability to adapt to word processing systems in use.
  8. Ability to maintain accurate and complete records and prepare clear and detailed reports.
  9. Ability to make appropriate level decisions in absence of principal.
  10. Skyward, Infinite Campus and Google Drive/sites/Forms experience preferred.
  11. Such other qualifications as the Board may find appropriate and acceptable.
