SUMMARY
The Athletic Secretary performs a wide variety of confidential secretarial and administrative support functions for the Athletic/Activities Director in an effective, efficient and professional manner. The Secretary will coordinate and administer day to day management of the multi-faceted administrative components of Greenfield High School Athletics and Activities. The Athletic Secretary also acts as an assistant to the coaching staff and should have excellent written and verbal skills, be well organized, efficient, self-directed and be willing to carry out the responsibilities of the position as defined below:

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following.
• Be point-of-contact and assist with parents, students and coaching staff (potential clients, vendors, guests and staff) over the phone in a courteous and professional manner.
• Maintain and keep up-to-date accurate records of student athletics, program staff and distributes program files including handouts, manuals, worksheets etc.
• Communicate information with parents, athletes, volunteers with letters and documentation.
• Maintain accurate attendance records of students and notify coaches of placement and parents of tardiness, absences, suspensions or dismissals.
• Keep a players and team official’s register, with all contact details.
• Maintains all athletics forms and waiver forms
• Collaborate with the facilities and events coordinators to determine home event coverage schedule
• Work with head coaches in advance of respective seasons to determine game day needs.
• Recruit, hire, train, schedule and supervise all needed home event staff, including, but not limited to, ticket sellers, gate workers, announcers, scorekeepers, clock workers, timers and video board operators. Arrange for payment of all personnel.
• Manage all aspects related to scheduling and hosting sport officials, including monitoring information available on online scheduling services; maintaining database of contact information and availability; scheduling (as needed); creating and distributing contracts; serving as advance point of contact
• Reconcile ticket sales, prepare deposit information, and maintain appropriate financial and analytical records.
• Responsible for coordinating the sports teams travel needs for competitions and practice.
• Processing payments/billing/purchasing
• Manage contracts and invoices for internal and external rental agreements for all athletics facilities.
• Serve as liaison with custodial staff, facilities management, academic departments, recreational sports and others to ensure scheduling of facilities.
• Completes all additional duties as assigned by the Athletics / Activities Director

EDUCATION and/or EXPERIENCE
• High school diploma or general education degree (GED); or one to three months related experience and/or training; or equivalent combination of education and experience.
