Hartford Union High School is seeking a full-time Administrative Assistant that provides confidential administrative support to the Director of Student Services.  The position performs a wide range of administrative and office support for the district to facilitate the efficient operation of the Student Services Department.  This is an hourly position working 8.00 hours per day, generally from 7:00 a.m. to 3:30 p.m. Monday through Friday.


We are seeking a positive, motivated Administrative Assistant to join our collaborative, purpose-driven team. A qualified candidate will possess strong communication, organizational, and problem solving skills, as well as work effectively in teams. 


Key Responsibilities of the role include:

  • Maintain confidentiality of various aspects of school operation including sensitive and personal information.

  • Handle sensitive matters and maintain confidentiality. (e.g. FERPA, HIPPA, special education, and legal documents related to student or family situations)

  • Develop and access relevant reports/documents, communications, and pertinent data.

  • Prepare standardized documents and reports for the purpose of communicating information to District personnel, parents/guardians, other agencies, and state officials.

  • Disseminate, maintain, and store IDEA and Section 504 documents, as well as general academic and behavioral records.

  • Work with staff members who manage student records to ensure the accuracy of District special education data transferred to state data. 

  • Assist in the update and intersection between District information system and special education and Section 504 platforms.

  • Process and communicate correspondence pertaining to new, transfer, and drop students.

  • Assist in the compilation of student records. 

  • Perform enrollment and withdrawal activities for the purpose of ensuring compliance with financial, legal, state or federal requirements.

  • Enter data for a variety of electronic student records for the purpose of providing up-to-date reference and complying with regulatory requirements and established guidelines.

  • Coordinate receipt, maintenance, and distribution of records pertaining to students with special needs.

  • Prepare and send written notices to parents, in accordance with specific state and federal special education process requirements.

  • Coordinate Medicaid administrative claiming and school-based services process.

  • Ability to maintain confidentiality.

  • Ability or willingness to learn or engage in training in additional software.


Degree/License requirements include:
Education

  • Required: High School Diploma or general education degree (GED).

  • Preferred: Associates degree or equivalent.

Licensing

  • Required: Valid Wisconsin Driver’s License.

  • Preferred: AED, CPR, First Aid.

Work Experience

  • Required: One to three years of administrative assistant experience. Proficiency in Microsoft Office, and google docs.

  • Preferred: Administrative assistant experience in public education. Experience with student information software (SIS) is preferred.
