The Mequon-Thiensville School District is seeking an exceptional individual to assume the position of Human Resources Coordinator. This individual will be responsible for performing administrative and clerical work in support of general Human Resources Department functions. The Mequon-Thiensville School District is a PK-12 district located along the coast of Lake Michigan in a northern suburb of Milwaukee that serves more than 3,500 students. HUMAN RESOURCES COORDINATOR
Job Summary:
The essential function of the position within the organization is to perform administrative and clerical work in support of general Human Resources Department functions. The position is responsible for maintaining accurate and up-to-date employee records, processing new employees, providing professional and courteous customer service at all times and performing related work as required. The position works under general supervision according to some procedures and decides how and when to complete tasks.
Required Education and Experience:
• High School Diploma
• Dependable and conscientious with strong work ethics
• Executive assistant skills, including effective written and oral communication skills, ability to work well with others, attention to detail, ability to work independently and prioritize tasks
• Ability to maintain strict confidentiality relating to all business, personnel and school district maters and respond effectively to sensitive issues
Preferred Education and Experience:
• Associate's Degree in Human Resources or related field
• Experience working in a K-12 school environment
• Professional in Human Resources (PHR) or SHRM Certified Professional (SHRM-CP)
Required Skills/Abilities:
• Valid Wisconsin driver's license
• Effective written and oral communications skills and ability to work well with others
• Ability to work in a fast-paced environment and handle urgent and unexpected situations
Physical Requirements:
• Prolonged periods of sitting at a desk and working on a computer
• Must be able to lift up to 10 pounds at times
• Moderate dexterity in operating machinery, tools, or office equipment
• Normal visual acuity and field of vision, hearing and speaking abilities
Reports to:
Chief of Staff
Essential Functions:
• Responsible for posting job vacancies and responding to applicant inquiries as necessary
• Manages the employment applications materials process and follows up with Administrators regarding the status of vacancies to ensure an efficient and effective recruitment process
• Coordinates the interviewing process for positions as appropriate
• Maintain onboarding new recreation, extra duty, coaching and other new staff members when needed through the District's onboarding procedures
• Oversee/maintain the District's criminal background check systems and process for all new staff, volunteers and education/field placement. Refer any questionable information to the Chief of Staff for review
• In collaboration with the Payroll and Benefits Coordinator, coordinates new employee data and employment information for all new staff through Skyward
• Coordinate and maintain Frontline Absence Management - new staff, help/maintain daily absence information and creates staff absence reports, as needed
• Compile and complete necessary detailed staffing information/reports, as requested (District staffing plans, enrollment projections, Qualtrics, etc)
• Maintains up-to-date employment and licensure data for the purposes of reporting to the State's data warehouse, WISEdata, in compliance with legal requirements
• Maintains a system for personnel records and related medical records for all District employees to provide a confidential, comprehensive, current, and accurate record of all matters pertinent to employment. Provides employment information to interested parties upon request as appropriate and necessary
• Manages monthly school board employee transactions, then send notification of results to affected staff members
• Manages and issues all professional staff contracts, administrative contracts, and special assignment and co-curricular information - maintains information for updated lists for payroll
• Tracks licensure for all District staff and assists staff with license renewal as necessary
• Provides detailed staffing information to assist the Chief of Staff and Superintendent in developing the annual budget
• Tracks evaluations for all District staff while maintaining professional staff information through Frontline
• Administers FMLA and other types of leaves of absences, including requesting and tracking required documentation and follow-up to ensure appropriate return-to-work plans
• In collaboration with the Chief of Staff, supports in counseling and recommending courses of action to Principals, managers and administration regarding personnel issues
• Completes surveys and open records requested information, as needed
• Keeps abreast of professional practices in the field through participation in professional Human Resources organizations
• Serve as contact for the District's Teachers on Call contact for substitute teacher, paraprofessional and other support staff personnel needs
• Perform such other duties as may be assigned
