Palmyra-Eagle Area School District is looking to hire a District Executive Assistant to the District Administrator and Board of Education. The position is a full-time year-round position. The primary responsibilities will be to provide clerical support, business functions and appropriate school services.
Responsibilities include but are not limited to:
OFFICE PROCEDURES:
• Provide general information and assistance to students, parents/guardians, the general public, and school staff members.
• Create letters, memoranda and reports from multiple sources.
• Organize and maintain files and records.
• Answer telephone calls, direct calls to the appropriate person or department, and handle calls when knowledgeable on a subject when asked.
• Process school mail including preparing outgoing mail and sorting and delivery incoming mail.
• Support the District’s accounts payable process by entering invoices, processing purchase orders and reconciling account statements.
• Provide support in the maintenance of the student information system, enter appropriate student information, prepare reports from information stored in the system, and keep all data/information current, accurate and up-to-date.
• Schedule use of the district Community Center for use according to established district procedures.
• Perform all other duties as assigned by the District Administrator and/or their designee.
BOARD OF EDUCATION SECRETARY
• Assists in the preparation and distribution of agenda and necessary materials for all meetings of the Board of Education.
• Responsible for taking the minutes at all meetings of the Board. Maintains a permanent record of minutes and proceedings of all meetings of the Board.
• Maintains a master copy of all Board of Education policies, provides new and revised policies to all Board members, administrators, and Board approved policy manuals.
• Notices all Board Meetings in accordance with Open Meeting Law requirements. Notifies designated media of all Board Meetings.
• Prepares and arranges for publication legal notices as required by Board policy and state and federal laws.
• Creates formal hearing notices, letters of correspondence, and documents as requested by the Board in consultation with the District Administrator.
• Responsible for all aspects of Board elections in cooperation with the Board Clerk.
• Assists in the preparation and distribution of the agenda and booklet for the Annual Meeting and disseminates Annual Meeting notices as required.
• Creates reports, gathers information, and responds to Board inquiries for data in collaboration with the full Board and in collaboration with the District Administrator.
• Performs such other tasks for Board members as may be assigned by the District Administrator.
