Full Time

Duties of the Position: To ensure the smooth and effective operation of the school office and district programs therefore creating a positive impact on the students, staff, and community for the Sparta Area School District. 

1. Complete the usual office routine and practices associated with a busy and complex atmosphere to ensure a smooth run office. Ability to handle multiple projects (be flexible) and prioritize tasks simultaneously in an organized and timely manner

2. Attention to detail

3. Maintain confidentialities, including but not limited to student and staff files. 

4. Maintain, process and make adjustments in students schedules and records 

5. Receive and route all incoming calls and mail as needed 

5. Greet and assist visitors, students and staff in need of information 

7. Maintain a daily attendance log for staff and substitutes and place substitutes where needed.  (I do most of this but yes, important and need help with it)

8. Prepare reports required for student attendance and transportation (needs to be in there)

9. Operate common office technology (phone, computers, copy machine, visitor check-in system etc.) and schedule for services as needed. 

10. Collect student fees (food service) and make deposits. 

11. Assist in preparing the building budget as well as maintaining record of the budget and purchase throughout the year. Process building orders and ensure quality of items. 

12. Prepare a parent newsletter as directed for each month/weekly (important, needs to be in there)

13. Serve as a back up to the health assistant when needed. Collect and file health records, assist with injuries and illnesses, and administer medication according to school policy. 

14. Ability to work effectively and efficiently in an unsupervised environment

15. Knowledge of and ability to effectively use student records and food service software. 

16. Issues timely announcements, including upcoming events and deadlines

17. Obtains, gathers and organizes pertinent data as needed and puts it into usable form.  May involve creating charts, graphs, spreadsheets and/or databases.

18.Website/Facebook maintenance as assigned   

19. Work with the PTG to assist as needed

20.. Other duties as assigned


Able to build strong relationships with students, staff and parents. Strong written and verbal communication skills. Ability to pay attention to details. Keyboarding, filing and strong clerical skills. Effective handling of all communications in the office. Strong computer skills. Knowledge of office management software (word processing, data management, budget software such as Skyward, Microsoft, Google). Knowledge of basic first aid.

Work Schedule of the Position: Year Round: Monday-Friday 7:00-3:30
