JOB RESPONSIBILITIES

We are seeking a diligent and detail-oriented Program Specialist to join our team. The successful candidate will support various administrative and operational functions within the Special Education and Student Services departments. This role requires excellent organizational skills, proficiency with various software applications, exceptional customer service, and the ability to manage multiple tasks efficiently.


This person will support the Agency’s Special Education services through activities for the Regional Service Network, which is a network of state and regional special education leaders, as well as for itinerant staffing that is provided in our local schools.  Duties and responsibilities will include, but are not limited to the following.


Regional Service Network

  • Support events including, but not limited to: invitations, catering, room set up, communications, and budget closeout.
  • Engage in communications with special education leaders as directed by the Director of Special Education and Pupil Services
  • Make travel arrangements

Itinerant Services

Support the Coordinator of Itinerant Services and approximately 45 itinerant service providers to include:

  • Manage and maintain staff and student data in a web-based Special Education system, to include user management, data entry, and report development.  
  • Monitor service caseload hours, track changes, and update Go IDEA as directed.
  • Process Service Request forms and respond to inquiries from school districts.
  • Complete billing forms as needed and assist with fiscal reconciliation of itinerant services.Manage the itinerant equipment, supply, and library databases.
  • Manage and update resources and reference data for staff to include annual school calendars, forms, and procedures.
  • Support in person meetings and workshops with invitations, catering, and room set up, and set up and support virtual meetings through Zoom/Google Meet to include breakout rooms.
  • Complete purchase orders manage itinerant supply inventory as directed.
  • Process professional development request forms.
 
  • Associate’s Degree required; additional education or certifications in office administration or related fields preferred.
  • Proven experience in administrative roles, preferably within educational or student services environments.
  • Proficiency with office software applications such as Microsoft Office Suite required.  Experience with Skyward, Go IDEA and/or NEON preferred.
  • Experience with billing desired.
  • High attention to detail.
  • Fantastic customer service.
