Job Title: Business Manager/Finance Coordinator, Prescott Public School

Supervisor: Superintendent of Schools

Location: District Office with Superintendent of Schools, Human Resources, Payroll, Administrative Assistant, Purchasing, and Accounts Receivable. 


STATUS: Full-Time (40 hours/week) 12-month


Prescott Schools is hiring a district-level Finance Coordinator.  Qualified candidates will possess the representative accounting knowledge, skill, and/or ability required for this job.  Prescott is located on the Western border of Wisconsin. Qualified applicants should exhibit knowledge and understanding of accounting (Governmental Accounting preferred) principles, with a good command of budget development, management skills, and the ability to assist with future financial projections for upper administration and school board analysis. Previous school district and supervisory experience is preferred, but not required. Demonstrate the ability to work with many district departments, schools, and community members to ensure appropriate financial practices are adhered to and practices throughout the year.


Job Summary: Serve as the district’s point person to develop, implement, and oversee all district finance processes and procedures for Prescott Public Schools and affiliate organizations.  Develop protocols for receiving and expending all monies to successfully maintain the financial health of the public school system.  Awareness and understanding of GAAP.


Responsibilities:
  • Ensure all financial transactions are documented and balanced within Skyward Finance software and reconcile all district accounts.
  • Prepare monthly financial reports for the Superintendent, Board of Education, principals, supervisors, and activity club presidents.
  • Coordinate and serve as the primary point person for the annual external audit of all PSD financial transactions following the WUFAR accounting practices and the WI Department of Instruction (DPI).
  • Prepare quarterly and annual payroll reports for FICA, Federal and state tax, Social security, and unemployment.  Assist with bi-monthly payroll and end-of-year W2s and 1099s.
  • Submit district-wide final budgets and annual reports to the Wisconsin Department of Instruction (e.g., General fund, special education, food service, community ed.) in collaboration with the District Superintendent.
  • Manage and report District bond issues (e.g., EMMA) and Line of Credit to appropriate state officials.
  • Develop, implement, and monitor appropriate internal processes to ensure a balanced budget and ethical practices are followed throughout the system to ensure district funds are safeguarded and accurate financial reports are available.
  • Prepare monthly internal reports for administration, supervisors, and the school board to assist with data-based decision-making.
    • Meet monthly with the Administrative Team to ensure all reports are reviewed and achieve shared understanding. 
Skillset:
  • Demonstrate thorough knowledge of all aspects of accounting procedures using accepted computer systems.
  • Training and experience in accounting, office machines, and computer systems are required.  Degree in School finance preferred.
  • Ability to demonstrate good sound judgment and perform well under pressure and under multiple timelines.
  • Ability to work cooperatively with others within the district office, across departments and schools as well as with external agencies to complete tasks, resolve challenges, and prevent disruption to school financial processes.
  • Self-motivated and able to prioritize workload to meet fixed deadlines.

Functions & Tasks:
  • Coordinate approval and payment of all invoices for the district.
  • Coordinate all district purchase orders and prepare billing processes for transportation, tuition, open enrollment, and other services the district may provide.
  • Ability to manage short-term cash shortages and short-term loans to ensure ongoing operations of the public school system.
  • Track and oversee all student activity accounts associated with the district.
  • Track and oversee all grants.
  • Complete all municipality levy certifications.
Experience.  
  • Previous experience in public education, Governmental agencies, or nonprofit agencies is preferred.
  • Awareness of public school finances, governmental accounting, and funding practice is a plus. 
  • Ability to work in coordination with payroll, Human Resources, and superintendent essential.
  • Experience working with Skyward Accounting Software, and Google Suite is a plus as Prescott is a GAFE district.

Performs other duties as assigned by the superintendent of schools.
