Job Summary The Business Office Assistant under the guidance of the Executive Director of Business Services, is responsible for assisting the Business Office with its many functions including budget and financial planning, payroll, benefits, purchasing, accounts payable, cash management, food service reporting, and state/federal reporting. Essential Job Functions • Payroll and Benefits o Assist with the onboarding process for new staff o Assist with benefit changes with benefit providers or within our accounting software o Assist with bi-weekly, monthly, and quarterly payroll-related invoices and reports o Assist with internal staff reports/tracking • Purchasing/Accounts Payable o Assist with vendor setup and maintenance including W-9, 1099, and insurance forms o Assist with preparing disbursements for mailing or sending electronically in a timely manner o Assist with reconciling and processing credit card transactions • Cash Management/Accounts Receivable o Assist with student fee billing process o Assist with outstanding fee communication and collection strategies • Other Business Office Functions o Assist registration and travel process for external professional development o Assist school office and staff with field trip payments and lunch coordination o Assist with preparation for the annual audit o Cross-train on various functions to ensure adequate coverage and consistent service o Participate in process improvement discussions with Business Office • Serve as a positive role model for students in how to conduct themselves as citizens and as responsible, intelligent human beings and help instill in students the belief in and practice of ethical principles and democratic values • Additional duties and responsibilities as necessary within the scope of the employment position Knowledge, Skills, and Abilities – May be representative, but not all-inclusive, of those commonly associated with this position. • Ability to handle confidential matters in a discreet manner
Required Qualifications – Required qualifications to effectively perform the job at the time of hire. An equivalent combination of education, training, and experience will be considered. • High School diploma or GED required. • Computer skills in word processing, spreadsheets, email and internet. Preferred Qualifications – Highly desired education, training, and/or experience that may be helpful in performing the job, if applicable. • Two years of experience in accounting or office administrative roles. • Experience with Skyward School Management Software & Student Information System.
