Are you looking to be part of a great team? Arrowhead Union High School is looking for a dynamic Assistant Activities Director. This position reports to our Athletic Director and supervises Activities Clerical Aides, student athletes and officials.
JOB GOAL: Assists the Athletic Director in all aspects of Athletics and Extra-curricular leadership to ensure efficient and effective operating procedures, consistent with Board policies and expectations, to ensure the highest levels of student experience and participation. Plans, directs and supervises athletic and extra-curricular programs and associated functions to enhance opportunities and experiences. Establishes and enforces the highest professional standards of conduct; enhances morale and promotes operational efficiency.
ESSENTIAL FUNCTIONS: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily and possess the knowledge, skills and abilities described herein. 1. Maintain the school calendar, including all sports, fine arts, clubs and rental activity. Review, identify and solve any schedule conflicts to maintain a smooth and orderly function of the building and events. Ensure all sporting events are correct regarding contracts and conference calendars.
2. Responsible for the monitoring of more than 100 activity accounts, including: issuing purchase orders; preparing deposits; providing financial statements to activity account holders; and resolving any sales tax issues.
3. Assist Activities Director as needed with purchase orders and processing of District budget invoices. Confirm that all athletic fees have been paid and issue requests for refunds.
4. Coordinate athletic registrations and materials that are annually presented. Responsible for raffle activity compliance to state mandates and state licensing.
5. Organize home and away school events, including: hiring and training event staff; coordinating student workers; managing busing; start-up cash orders with the district; ensuring all necessary set-ups are on file; communicating and coordinating all set-ups with the Head Custodian.
6. Receive and process coaching job applications, maintain up-to-date lists of coaches and provide them to the District Office.
7. Oversee, direct, and delegate the daily work of two activity clerks. Communicate the weekly event needs and special event assignments to the clerks.
8. Handle after hours emergency calls concerning bus issues, facility issues, etc.
9. Review potential liability situations for the school (including all student injuries), report them to the Activities Director, and process/investigate and follow directives to resolve them.
10. Manages all aspect of rentals, including: issuing contracts; ensuring certificates of insurance are on file; making sure that set-ups for the rental events are on file; communicating and coordinating rental set-up needs with the Head Custodian; issuing rentals invoices; collecting the applicable fees.
11. Ensure compliance with WIAA rules and regulations, including student eligibility and reporting.
12. Communicate proactively and effectively with students, parents, and the general public on a variety of questions and issues.
13. Review each season’s coach lists and provide continuous updates and details to the District Office.
14. Summarize all volunteer activity on an annual basis for school administration. Provide a summary of numbers of athletes and club participants to coordinator for DPI reports.
15. Responsible for all summer activity in the Activities Office (as clerks are gone for the summer).
16. Promote and maintain a flexible, cooperative, positive, team-oriented attitude.
17. Other duties as assigned.

Experience in all phases of cash receipts and cash disbursements. Knowledge and ability to adapt and use multiple computer programs including Word, Excel, and Access. Ability to work as a team and with the public. High School athletic experience is helpful. Experience with Skyward is desirable.
