JOB TITLE: Executive Assistant
IMMEDIATE SUPERVISOR: Superintendent
STATUS: Full-Time (40 hours/week) year-round
SALARY: $50,000 to $55,000-DOE, Based on experience, skillset, and educational level.
JOB SUMMARY:
The Executive Administrative Assistant provides confidential administrative support to the superintendent and school board. Plays a key role in managing the superintendent and school board's monthly calendar of events with assurances that policies and PSD reports to various state departments are submitted on time. Works closely with Superintendent and Communication Specialist to ensure clear lines of communication within the organization as well as externally to the five municipalities that comprise the Prescott School District.
RESPONSIBILITIES:
-Assist the superintendent to maintain a favorable image, and ensure all functions are completed in a professional, timely, and confidential manner. Serve as an efficient confidant of the district work scope.
-Prepare and organize all official school meetings with the school board each month. Organize and create packets for school board members and the community at the direction of the superintendent.
-Maintain appropriate records and official minutes of all meetings. Assure all official minutes are posted and archived per Wisconsin Statute.
-Attend all regular monthly night board meetings and annual district meetings to assist with the planning, execution, and recording of business activities.
-Ensure all state statute open meeting protocols are adhered to with timely posts of all legal notices concerning district meetings, school board committee meetings, and regular and special school board meetings.
-Manage all district annual board elections with county clerks, referenda operating, and bond questions, with all municipal clerks including vote preparation, timelines, and after-election canvassing.
-Serve as a liaison between the superintendent and staff/students/community by directing communications to the proper level and person, seeking to facilitate a resolution to questions or problems in an efficient manner. Create and maintain an open relationship with local news agencies, papers, and cable channels.
-Assist the superintendent in managing all state reporting deadlines and appropriate delegation of responsibilities occurs among the administrative team.
-Maintain strict confidentiality for all information regarding students, parents, staff, administration, school board, and other employee relations and business.
-Assist in the planning and logistic coordination of new staff orientation, beginning and end of year all staff events.
-Maintain and order paper supplies for the district office and school sites.
-Work with CESA 11 for ongoing services.
-Sort incoming mail and distribute it. Take outgoing mail to the post office daily.
-Other duties as assigned.
Position requires sitting, standing, walking, speaking, hearing, reaching, filing, typing, grasping, and operating office machines, and occasionally requires kneeling, crouching, pushing, pulling, and/or lifting. The district office is located within one of the PSD Schools.
-Strong interpersonal skills and approachable demeanor while operating in a multi-person office, engagement of school community in and outside of the school organization, and ability to maintain strict adherence to confidentiality of high-level and personnel information required.
-Strong evidence of written and oral communication. Including original work and demonstration of editorial skills. With the ability to generate written correspondences from meeting minutes, correspondences to various stakeholders, newsletters, creative works, and fliers expected.
-Strong computer and technology skills/knowledge with or ability to navigate (e.g., Student Information Systems (IC), Employee Management Systems (Skyward), G-Suite/GAFE, and other core district technology and DPI reporting portals to complete organizational functions. Assists with monitoring and updating district social media.
-Ability to work cooperatively with others within the district office, across departments and school personnel along with external agencies to complete tasks, resolve challenges, and prevent disruption to school processes.
-Ability to maintain a helpful and positive demeanor in fast-paced and sometimes stressful encounters via phone, email, or in-person encounters.
-Ability to demonstrate good sound judgment and perform well under pressure and under multiple timelines.
Education:
High School or Equivalent required
Technical, Associate Degree or higher preferred.
