We are currently seeking to hire a highly dedicated Executive Assistant to the Board of Education, Superintendent and Business Services. This position is a full-time, year round position eligible for our full benefit package. What Your Day Will Look Like: The Executive Assistant to the Board of Education, Superintendent and Business Services is an important role in helping to maintain smooth operations. In this role, you’ll assist with Board of Education and Superintendent (50%) and payroll functions of the Business Services Department (50%). This position works collaboratively with the Superintendent and Assistant Superintendent of Business Services to provide critical, time-sensitive guidance and support necessary to maintain the successful functioning of the Superintendent’s office; the Board of Education and the Business Services Team. This position is a reliable contributor to high impact projects and enhancements by gathering, organizing, entering, and synthesizing information/data; establishing efficient workplace procedures/ routines/ protocols; providing internal/external customer service, clerical, payroll support; and communicating efficiently with the general public and school district staff through multiple communication modes. Our Ideal Candidate: REQUIRED: ● High school diploma, plus vocational/technical training or associate degree; one to three years of progressively responsible administrative or executive assistant duties; or any combination of education and experience that provides equivalent knowledge, skills, and abilities; ● Demonstrated superior computer proficiency, including Microsoft Office and Google Drive programs, communication software, and 10-key data entry; ● Demonstrated excellent interpersonal skills and the ability to work with a variety of people; ● Must meet State of Wisconsin criminal background check requirements; ● Demonstrated exemplary experience utilizing the following skills: problem solving, multi-tasking, customer service, organized, work ethic, high quality outcomes, and attention to detail; ● Must be able to maintain confidentiality and have a working knowledge of privacy practices; ● Demonstrated superior ability to organize and maintain steady workflow within designated time lines; ● Demonstrated superior ability to work independently with minimum supervision; ● Superior ability to act with integrity and discretion; ● Ability to work outside of regular office hours when necessary; and ● Driver’s license and vehicle. PREFERRED: ● Demonstrated administrative assistant experience in a public education setting; ● Desired experience and training in payroll functions; ● Experience with Skyward, the District’s financial software system; ● Demonstrated knowledge of basic accounting practices and procedures; and ● Ability to read, write and speak bilingually. PHYSICAL DEMANDS & WORK ENVIRONMENT: Must be able to sit for extended periods of time; have repetitive wrist/hand/finger movement to work on computer or related office equipment; climb, pull, push, reach, carry, write, crouch, kneel and walk and lift up to 25 pounds occasionally; function in a normal office environment with moderate noise levels and routine interruptions to workflow.
