Secretary Summary
The Secretary is responsible for managing the daily operations of our school. The secretary manages the student health room (training will be provided), the daily, weekly, and monthly operations of staff and student attendance, including substitutes, maintains attendance reports and notifications associated with pupil attendance, maintains student records as well as engages in communication (phone and email) with staff and families throughout the day.
Key responsibilities include:
Greeting and interacting with the public and employees in routine situations
Providing information and interpretations of policies or procedures related to school activities
Establishing, maintaining, and monitoring accurate, neat, and efficient electronic and manual filing systems. Enrolling and withdrawing students through record requests and distribution of school files.
Gathering and preparing appropriate attendance information.
Assisting in the orientation and training of employees and/or volunteers
Handling confidential information with complete security.
Ordering/tallying lunches daily along with working with lunch staff to ensure lunch card distribution, etc.
Maintaining office bulletin board
Using Microsoft and Google Apps for Education proficiently to Prepare letters, memos, reports, bulletins, handbooks, questionnaires, requisitions, and other materials based on notes, rough drafts, and verbal instructions
Cross-training with office co-workers in order to ensure team success. Taking on any school projects to assist office staff.
Demonstrating effective working relationships with staff, students, parents, and the community in a positive manner.
Recognizing problems and taking the initiative to solve them.
Performing other duties as assigned by the building administrator and office manager.
High School diploma (or equivalent)
Previous successful secretarial experience, or equivalent
Knowledge and experience with the Skyward program attendance, classes, and grade reports.
Ability to maintain positive relationships with young children, school staff, and parents
Ability to demonstrate the organization and prioritization of job responsibilities as well as being flexible.
Ability to proficiently communicate in written and oral form.
Ability to see tasks that need to be completed and take initiative to start them.
Ability to work successfully with interruptions.
An exceptional ability to respond well to feedback and implement it immediately.
