Hartford Union High School is seeking a full-time Executive Assistant to start May 8, 2023. The position works a 12 month full school year. The Executive Assistant performs administrative and secretarial support to the Superintendent and Board of Education. Properly handles confidential matters relating to staff, students, student records, parents, Superintendent, Board of Education, and any other school-related issues.
● Assists the Superintendent, recommending, authoring, and interpreting Board Policies, and regulations as deemed appropriate.
● Answers telephone, takes messages, screens calls, responds to emails and other forms of internal/external communication, maintains calendar and schedules appointments, and meetings for the Superintendent.
● Maintains records for the Superintendent’s office and Board of Education, and assists the Superintendent in his/her role as custodian of District records.
● Initiates and/or draft, prepare, and distribute a variety of documents, including but not limited to letters, memos, e-mails, acknowledgements, notices to staff, forms, and reports; sign specified correspondence on behalf of the Superintendent.
● Coordinates and assists in the preparation of Board of Education meeting agendas, supporting material, and assembles and distributes Board packets.
● Publishes Board meeting agendas, notices of Board committee meetings, and authoring legal notices as necessary.
● Attends all regular, special, and requested Board meetings, taking minutes, exercising discretion, good judgment, and confidentiality.
● Maintains the permanent record of all Board of Education meetings’ minutes.
● Maintains current and up-to-date master copy of Board-approved District policies, and Administrative Guidelines; recommends policy edits.
● School Board Election: Coordinates processes and performs duties in order to comply with legal requirements.
● HUHS Scholarship Foundation: Prepares all materials for the application, reading and selection process, including all donor, trustee, and recipient correspondence and follow up.
● Hall of Fame: Coordinates and process the application and induction process.
● Completes the Annual Notice audit and ensure legal compliance.
● Provides assistance to the Human Resources Supervisor throughout the year.
● Opens, sorts, and disburses incoming mail and other correspondence. Maintains the staff work room and orders supplies.

Degree from a two‐year college or accredited business school, with a major in business or related field.
Valid Wisconsin Driver’s License.
One to three years administrative assistant experience. Proficiency in Microsoft Office, and Google docs.
