The School District of Colfax is seeking a full-time elementary secretary. Qualifications/Personal Requirements: 1. Possess the ability to work harmoniously with people. 2. Possess the personal characteristics necessary for successful association with elementary school aged students and parents. 3. Be willing to accept and follow all reasonable work requests made by supervisors. 4. Possess the qualities of reliability, honesty, and promptness in performing duties and directives. 5. Possess the necessary skills to operate office equipment, computers, and effectively communicate with staff, supervisors and the public. Duties/Responsibilities: 1. Receptionist-answer phones, attend to students, teachers, parents, and others who come into the elementary office. 2. Run student class lists, student schedules for card files, address/phone/parent reports and all other necessary reports relating to students. 3. Maintain student attendance records for the elementary school, ADM, daily absentee listings and student/faculty announcements. 4. Issue receipts for school district income via students, activities, and special school district deposits. Balance monies and send to high school office for deposit. 5. Type all elementary purchase order from requisitions prior to July 1 each year and order. Unpack all orders and check against the packing slip and purchase order. Prepare invoice for payment, to insure the items have been received before routing to the bookkeeper for payment. 8. Prepare monthly attendance information, and complete the Second and Third Friday Pupil Reports to give to the District Office for state and school district reports. 9. Work cooperatively with the school nurse, fill out necessary health forms and entering records on the computer as part of student records. 10. Register incoming students, schedule and assign to class, grades JK-6. 11. Update cumulative folder and send to school of our transfer students JK-6. 12. Schedule sixth grade students 13. Run report cards quarterly and distribute. Send report cards in the mail the last semester. 14. Print honor rolls, special grades, etc 15. Relay phone messages and other communications to teachers and students. 16. Notify principal or counselor regarding concern of students, and other important information related to students. 17. Attend to students who are injured on playground or in school. Contact nurse if available or call parent if needed. Be sure an accident report is completed and on file. 18. Make contacts with parent/guardian for students who become ill and require transportation home. 19. Distribute and collect lesson plan books, grade books, etc. from elementary school teachers. 20. Initiate cumulative files for incoming kindergarten students, type kindergarten list with name, parent names, addresses and telephone numbers for teachers, and send letters to parents indicating the student’s teacher for the coming year. 21. Assist Transportation Director with bus drivers and bus routes for the district. 22. When a student transfers to Colfax, send the student’s cumulative file, compile the information in folder on our forms, route to psychologist and classroom teacher. 23. Compile a list of three year olds for screening and send letter to parents and make appointments for their screening times. 24. Compile a list of students eligible for kindergarten for the coming year, send a letter to parents to invite to a two-day registration. Parents register their child and make an appointment for screening. 25. Run screening booklets, make 2 folders for each child, make name tags, and escort student to their first station on the day of screening. 26. Make a parent-teacher conference chart listing of all families in grades JK-6. 27. Maintain student prescription drug/over-the-counter drug that are brought to the office. It must be registered in the office and a chart is started for each student with the details. 28. Assign lockers to sixth graders. 29. Prepare registration for summer programming. Prepare the bus list for summer routes. 30. Make up school picture information packets and distribute them to the students. See that each child who needs a retake gets it done on retake day. 31. Make preparations for Open House. 32. Work with the principal on the following: general typing and secretarial duties, truancy letters to parents with copies to appropriate agencies, notify principal of unexcused-excused absences, send truancy form. 33. Re-admit students who were absent and sign out any students leaving during the day. Make-up slips, tardy slips and permits to leave the building are issued to students when needed. 34. Gather mid-quarter progress reports and mail to parents. 35. Manage the district’s student open enrollment records. 36. Other duties assigned by the Administrative Team. 37.
