Full Time
The Assistant District Bookkeeper provides clerical, accounts payable/receivable, accounting support, and outstanding customer service to internal and external customers of the Business Office. Specifically, the Business Associate provides accurate data entry, processing and paying of invoices, assisting in the implementation and management of financial software to support users, processing of banking transactions, assisting in purchasing and budget management, and cross-training to assist in Business Office activities as needed. REPORTS TO: District Bookkeeper ESSENTIAL FUNCTIONS: accounts payables for board meetings, fund 21 accounting, counting money for all student activity clubs, do all purchase orders of updating and processing, do all filing of invoices, assist and add timesheets for payroll, monthly check reconciliation, and other duties that District Bookkeeper assigns, etc. KNOWLEDGE, SKILLS, AND ABILITIES: Ability to work independently with minimal supervision. Superior ability to deal responsibly with confidential information. Knowledge of Business Office principles, practices, and database management. Strong oral and written communication skills. Thorough knowledge of modern office technology and procedures. Exemplary ability to organize and keep accurate records. Extensive experience working and communicating effectively with a wide range of co-workers, applicants, and business partners. WORK ENVIRONMENT: Normal office environment and moderate noise levels. Routine interruptions to workflow. PHYSICAL REQUIREMENTS: The physical demands described below are representative of those that must be met by an employee to successfully perform the essential functions of this job. Must be able to have repetitive wrist/hand/finger movement to work on a computer and/or related office equipment. Must be able to lift up to 15 pounds occasionally.
A. Required experience and training: High school diploma, plus vocational/technical training or associate degree (executive assistant, office management, or business management); three to five years of progressively responsible administrative or executive assistant duties; or any combination of education and experience that provides equivalent knowledge, skills, and abilities. Ability to work with a variety of computer programs. Recent successful experience in a responsible office position. Extensive experience with Microsoft Office Suite and Financial Software (Skyward software experience preferred). Prior experience with accurate bookkeeping, banking, and paying invoices. B. Desired experience and training: Specialized knowledge and/or demonstrated experience in the Accounting field and/or proven bookkeeping experience in a public education setting (e.g. prior experience in financial database management) C. Special requirements of the position: Ability to provide assistance to administrators and staff; ability to maintain excellent interpersonal relationships with superiors, peers, the public, and applicants; ability to make suggestions for improvement; and skill in oral and written communication. D. Superior ability to act with integrity and discretion.
