Waterford Union High School is accepting applications for a full-time Attendance Office Administrative Assistant-Substitute Coordinator (40 hours/week with benefits). This is a school year position with a minimum number of summer hours required. Qualified candidates must be highly proficient with technology, have strong organizational skills and the ability to keep student information confidential, and exhibit a caring nature in meeting the needs of the students and staff they serve. WUHS ensures all students learn at high levels as a professional learning community. WUHS is a public high school for grades 9-12 located in western Racine County in the southeast corner of Wisconsin, with a current enrollment of approximately 975 students. District boundaries encompass four separate K-8 elementary school districts whose students transition to WUHS upon completion of the eighth grade. WUHS offers a full range of courses preparing students for careers and post-secondary education with Advanced Placement courses, college-level courses, and workforce certification courses. Students academically place well above state and national averages in the ACT and Advanced Placement test scores. The overall graduation rate is 98%, with approximately 75% of graduates pursuing education after high school. As a member of the Southern Lakes Conference, WUHS offers more than 50 co-curricular opportunities, including student clubs, activities, and sports. The Attendance Office Administrative Assistant-Substitute Coordinator's role is two-fold: (1) provide clerical support in managing the District's main entrance, and (2) coordinate the scheduling of substitutes to ensure the continuous daily operation of the school. Job duties will include but are not limited to the following. Essential Skills: • Must be courteous, personable, and professional, as this position is often the first impression of WUHS for all visitors. • Ability to use common sense as well as exercise good judgment to maintain building safety, as well as discretion in handling confidential materials and matters • Strong computer independence • Must possess excellent phone and organizational skills to multi-task efficiently • Must be detail-oriented and accurate in work Job Duties: • Manage the Attendance Office, which is the main entrance to the school, to include greeting visitors, overseeing the daily coming and going of students, and arranging for the timely delivery of student passes, messages, packages, and staff correspondence routed through the Attendance Office • Carry out various responsibilities associated with student attendance records, including truancy tracking, medical records, parent notification, etc. • Create, update, and edit records in the PowerSchool student information system • Work in coordination with other support staff to complete DPI and WI State Reporting • Communicate with the school nurse and health department and report communicable diseases • Oversee Scheduling of Substitute Staff 1. Work with District Office staff to maintain a pool of substitute teachers. 2. Maintain availability and monitor staff requests for substitute educators due to illness or planned and approved absences. 3. Determine when substitute teachers or para-professionals are needed and schedule accordingly. 4. Ensure that substitutes are familiar with our school, mission, and curriculum. 5. Welcome, advise, and orient substitutes; serve as their contact point and answer questions as required throughout the day. 6. Update Substitute Manual to include standard operating procedures reference materials and ensure that substitutes are provided with all available resources (Chromebook, sub plans, keys, etc.) • Other duties as may be assigned The employee shall remain free of any alcohol or non-prescribed controlled substance abuse in the workplace throughout their employment in the District.
Qualifications: High School Diploma. Education beyond high school and library experience are preferred, as well as the following qualifications: 1. Possess a service-minded attitude towards staff and students 2. Maintain confidentiality of sensitive information 3. Computer experience in word processing, spreadsheet, database, and publishing software 4. Ability to utilize electronic mail and internet 5. Basic office skills including keyboarding, data entry, filing, organizing, publishing, editing 6. Ability to operate phone system, fax machine, copy machine, and other technology equipment 7. Effective oral and written communication skills 8. Ability to work in a collaborative environment with others 9. Ability to lift 30 lbs or more.
