Under general supervision, performs confidential, difficult and responsible secretarial duties such as word processing/data management, and office work calling for individual judgment, initiative, and specialized knowledge in carrying out established procedures, and does related work as required. Responsibilities/Examples of Work: 1. Assists the Administrator in office administration and directing people to the appropriate resource. 2. Primary responsibility for maintaining accurate database for special education programs. 3. Processes requisitions/orders/reimbursements from special education staff. 4. Handles/organizes/processes a variety of student records (e.g., special ed evaluations and transfers, regular ed graduates). 5. Coordinates with “Student Information Systems Manager” for State Reporting and data integrity. 6. Primary responsibility for Medicaid billing integrity and coordinating with business office and third party vendor. 7. Provides clerical support for district-wide special education support staff (e.g., School Psychologist). 8. All other duties as assigned to assist and support the District’s Special Education & Pupil Services department. Required Training and Experience: 1. Previous successful experience as a secretary/administrative assistant. 2. Experience and demonstrated competence with data entry, data analysis, word processing, spreadsheets, databases, etc. Essential Knowledge and Abilities: 1. Attention to detail and organization within a fast-paced, multitasking environment. 2. Assisting the office of pupil services to run smoothly to process time sensitive paperwork and procedures. 3. Understands and maintains confidentiality of both student and staff information. 4. Lifelong learner with an interest in special education policies and procedures. 5. Ability to perform a variety of clerical tasks using different data systems (e.g., Skyward, SEEDS, WISEdata) and office equipment. 6. Ability to establish and maintain effective public and working relationships with an overarching customer-service perspective. 7. Ability to maintain and produce accurate and complete records (e.g., evaluations, transfer records, IEPs). 8. Ability to prepare/run clear and detailed reports. 9. Ability to maintain budget-related procedures (invoices, purchase orders, ordering supplies) per Business Office expectations. 10. Ability to develop/maintain effective working systems. 11. Ability to prioritize, problem solve and collaborate and take initiative when completing a variety of tasks to manage office procedures.
