The Administrative Assistant to the Principal reports to the Principal at Germantown High School. The Administrative Assistant performs confidential clerical, organizational, and secretarial duties at Germantown High School for the Principal and the Administrative Main Office. This position is a year-round (260 days), full-time position (8 hours per day).
The start date for the position is as soon as possible but is negotiable.
- Assist the Germantown High School Principal with tasks as assigned.
- Regular attendance and punctuality is a must.
- Receive phone calls and emails and route them to proper locations within the school or district.
- Prepares various reports and data gathering tasks.
- Works with limited supervision and makes decisions in accordance with established policies and practices.
- Maintains confidentiality regarding inquiries from staff, students, families, and the general public.
- Arranges meeting times and spaces, coordinates Google calendar with Principal.
- Works with Teachers on Call and Frontline regarding substitute teachers.
- Contact and schedule in-house hourly subs.
- Compose Weekly Bulletin with the Principal, distribute to GHS staff.
- Enter work orders in Event Manager.
- Distribute US mail/interoffice mail.
- Manage the Pitney Bowes postage meter and supplies.
- Work closely with the Principal regarding the budget for each department and department chair.
- Enter purchase orders, online orders, copy paper orders, etc.
- Handle check requests.
- Credit Card reconciliation.
- Process conference requests, travel reimbursements, in/out of district mileage reports.
- Key distribution to staff & subs.
- Post School Board agendas.
- Assist Principal in Back to School Night.
- Assist Principal in staff evaluations, maintenance of files, and distribution of copies.
- Help coordinate and communicate Jostens Sophomore and Senior meetings/orders.
- Handle in person, email & phone requests from students, staff, families, and the general public.
- Assist Principal in conference night set up and coordination - fall/spring.
- Assist and communicate Academic Hall of Fame.
- Assist Principal with exam schedule and staff supervision schedule.
- Assist all staff with concerns/questions.
- Handle Graduation planning and coordination working with a team.
- School picture coordination with dates, lists, & distribution – Senior group picture.
- Senior Announcers – assist Principal & coordinate, guide daily, and interview for the new school year announcers.
- Communicate and handle the end-of-the-year teacher check-out.
Summer Responsibilities Include, but not limited to:
- Registration Information to families via website, Skyward & email.
- Set up interviews for staffing.
- Order office supplies for the upcoming year.
- Door programming/summer schedules.
- Answer phones for summer.
- Summer point of contact for building.
- Sub folders - create and update.
- New staff listing.
- Welcome back staff letter & meeting dates/staff emergency forms - update Staff Skyward section - entity info.
- Assist bookkeeper with the collection of fees/fines.
- Assist Student Services office with Transcript requests, etc.
- Assist the Principal, Assistant Principals, and Dean of Students with needs and projects.

- High School Diploma required
- Associate Degree in Administrative Assistant or Experience as an Executive Assistant preferred.
- Knowledge of office terminology and school policies, practices, and procedures preferred.
- Ability to multi-task and meet deadlines.
- Ability to work effectively in a team environment.
- Basic math skills, including the ability to perform simple arithmetic.
- Ability to operate postage meter and scale, ability to copy/fax and scan documents.
- Ability to maintain records and documents in an organized or orderly manner.
- Ability to use tact and diplomacy in dealing with others.
- A strong degree of self-direction, motivation, work with limited supervision, and make accurate decisions.
- Excellent organizational skills.
- Ability to communicate, both verbally and in writing, to staff, students, families, and the general public.
- Hold confidentiality in very high regard.
- Ability to read, comprehend, follow and give oral and written instructions.
- Proficient in Microsoft Word, Excel, PowerPoint.
- Proficient in Google, Google Sheets/Docs, Event Manager, Daktronics-Venus Suite.
- Proficient computer skills and Skyward, Teachers on Call, and Frontline experience preferred.
