Position Title: Grants Specialist Department/Location: Business Services Job Classification: Administrative Assistant; Hourly/Non-exempt Reports to: Chief Finance and Operations Officer Supervises: NA Position Summary: This position would be responsible for financial record keeping and reporting of grant and School Nutrition Services money for the District and to complete reporting required by state and federal law. Qualifications: High school diploma Associate’s or bachelor’s degree in accounting or business administration (preferred) Minimum of one year experience in a payroll or accounting capacity, preferably in an educational environment Ability to communicate, both verbally and in writing, at a level normally associated with completion of a high school degree or equivalent training Knowledge of accounting terminology, policies, practices, and procedures as gained by one-two years experience in an accounting system, preferably in an educational environment Knowledge of payroll and budget administration practices, procedures, policies, programs, and relevant state and federal laws and regulations Ability to work with limited daily supervision and make independent decisions regarding payroll processes and procedures Excellent organizational skills High level of maturity High level of motivation and assertiveness Able to work effectively in a team environment Ability to apply theories, principles, and concepts to diverse situations Ability of use discretion and integrity to process office information and data in a confidential and professional manner Ability to use a variety of office equipment and software products, including Excel Possession of technology skills at an intermediate or advanced level Ability to maintain records and reports in an organized and orderly manner Ability to use tact and diplomacy in dealing with others Ability to work effectively in a team environment Ability to multitask and meet deadlines Ability to work accurately with multiple interruptions, in a fast paced environment. Essential Job Duties Maintain all records, reports, claims and other documents related to grants and aids, including. Federal, state, local, and private grants and awards. Private donations granted with an expectation of extraordinary reports on use of funds. Records include applications, award notices, requisitions, purchase orders, invoices, claims, claim support documents, reports prepared by grant managers (e.g., ESEA assurances, reports of activities, etc.), contracts, and internal reports. Enter requisitions in Skyward for grants and aids managed by the Business Office. Approve requisitions in Skyward for grants and aids managed by other than the Business Office, within established limits Maintain Federal Grant Management procedure manual. Advise grant managers of rules and regulations for management of grants. Advise Chief Finance and Operations Officer of potential violation of rules, regulations, policy, contract or other terms of a grant / aid award. Maintain financial records is such a manner as to allow for monitoring grant compliance, filing claims, and preparation of end of year financial statements. Advise grant managers of balances and assist with expediting orders. Work with private school administrators on uses of equitable services set asides. Assist with issuing purchase orders, processing payments and maintain logs of equipment and materials provided to the private schools, as required by federal regulations. Coordinate the required annual consultation with the private schools to discuss uses of the funds. Maintain all records, reports, claims and other documents related to the food service program. Records required to be maintained by USDA or DPI. Records related to applications and approvals for free & reduced priced meals. Information to support monthly reimbursement claims. Perform other duties related to LEA's responsibilities for management and monitoring of the food service operation, as assigned by Direct of Fiscal Services. Assist the Chief Financial Officer, as directed, in compliance monitoring, program audits, proper recording of financial transactions, processing free and reduced applications appeals, and end of year financial audit. Other clerical duties as assigned
