Job Title: Executive Assistant Building: Prescott School District Start Date: ASAP Status: Full-Time w/Benefits (40 hours per week) Year-Round Salary: $50,000 - $55,000 (based upon experience, skillset and educational level) JOB SUMMARY: Provide confidential administrative support to the superintendent and school board to ensure clear lines of communication within the organization as well as externally to the five municipalities that comprise the Prescott School District. Provide key support to managing the superintendent and school board calendar of events with assurances that policies and PSD reports to various state departments are submitted in a timely manner. RESPONSIBILITIES: - Effectively assist the superintendent to operate the main office of the district, maintaining a favorable image and ensure all functions are performed in a professional, timely, and confidential manner. Serve as an efficient confidant of the district work scope. - Attend all regular board meetings and annual district meetings to assist with planning, execution, and recording of business activities. - Ensure all open meeting protocols are followed with timely posts of all legal notices concerning district meetings, school board committee meetings, and regular and special school board meetings. - Prepare and organize all official school meetings with the school board on a monthly basis. Creating packets for school board members and the community at the direction of the superintendent. Maintain appropriate records and official minutes of all meetings. Assure all official minutes are posted and archived per Wisconsin Statute. - Assist with the management of all district board elections, referenda operating and bond questions, with all municipal clerks including vote preparation, timelines and after election canvassing. - Serve as a liaison between the superintendent and staff/students/community by directing communications to the proper level and person, seeking to facilitate a resolution to questions or problems in an efficient manner. Create and maintain an open relationship with local news agencies, papers, and cable channels. - Compose and type correspondence and confidential information for the superintendent; draft routine correspondence as necessary. Partner with PSD Communication Specialist on external communications. - Assist the superintendent to manage all state reporting deadlines are met and appropriate delegation of responsibilities occur among the administrative team. Responsible for obtaining and compiling school census records. Maintain said records for use in preschool screening, kindergarten roundup, and DPI reporting. Prepare third Friday in September and second Friday in January pupil count DPI reports. Responsible for the open enrollment process for the district including approval brought forward to the school board and appropriately tracked within the SIS with accurate reporting to DPI. - Maintain strict confidentiality for all information regarding students, parents, staff, administration, school board, and other employee relations and business. - Present and maintain a high professional presence as the face of the district office, and demonstrate high level of organizational and time management skills. -Other duties as assigned. Tasks and Duties: - Complete state and local mandated reports, communications, bulletins, and maintain district central archival records and files. Responsible for issuance of work permits to minors as a work permit officer for the State of Wisconsin and filing monthly reports. - Responsible for issuance of work permits to minors as a work permit officer for the State of Wisconsin and filing monthly reports. - Maintain and order paper supplies for the district. - Work with CESA 11 for District Contract - Sort incoming mail and distribute it. Take outgoing mail to the post office daily. - Maintain district office supply inventory. - Coordinate the Employee Recognition Banquet and award ceremonies conducted out of the district office. - Cross-train within the district office to perform other duties as directed by the superintendent.
Skill Set. - Strong interpersonal skills and approachable demeanor to assist with the management of a multi-person office, engagement of school community in and outside of the school organization, and ability to maintain strict adherence to confidentiality of high level and personnel information required. - Ability to maintain a helpful and positive demeanor in fast-paced and sometimes stressful encounters via phone, email, or in-person encounters. - Ability to demonstrate good sound judgment and perform well under pressure and under multiple timelines. - Strong evidence of written and oral communication. Including original work and demonstration of editorial skills. With the ability to generate written correspondences from meeting minutes, correspondences to various stakeholders, newsletters, creative works, and fliers expected. - Strong computer and technology skills/knowledge with or ability to navigate (e.g., Student Information Systems (IC), Employee Management Systems (Skyward), G-Suite/GAFE, and other core district technology and DPI reporting portals to complete organizational functions. Assists with monitoring and updating district social media - Ability to work cooperatively with others within the district office, across PSD departments and school personnel as well as with external agencies to complete tasks, resolve challenges, and prevent disruption to school processes. Education: High School or Equivalent required Technical, Associate Degree or higher preferred. Interested applicants should apply and submit on WECAN.
