Waukesha North High School is seeking qualified candidates to apply for the Administrative Assistant position for our Student Services department. The recommended candidate(s) would be placed full-time at one of the schools for this benefit eligible position.
Responsibilities include, but may not be limited to:
• Complete enrollment and withdrawal process for students which includes working with the district Enrollment Office.
• Request or send student records as needed including communication with other schools regarding student records.
• Create files for new students.
• Notify school psychologist, counselors, and Special Education department regarding services for new students.
• Communicate with teachers regarding withdrawals.
• Assist students and families during the enrollment and withdrawal process.
• Maintain transcripts for current and past students, checking for accuracy and completeness, build transcripts for incoming transfer students.
• Review electronic transcript order systems daily during the summer and assist Student Services aide during the school year for transcript requests.
• Send transcripts electronically or through the mail as requested.
• Check for repeated classes and update transcripts once each semester and after summer school grades are transcribed.
• Prepare final transcripts to send; assist students and families with other paperwork as needed.
• Maintain student files according to DPI standards.
• Communicate with teachers regarding grading at quarter and semester, enter grades submitted by off-site placements, make grade changes as requested by teachers, counselors and administration, transcribe semester grades.
• Gather award information for the commencement ceremony including coordinating on the printing, folding and stapling of the program.
• Prepare work permits, supervising student aides and greeting/assisting students, parents and the public when they enter the Student Services Office.
• Assist counselors and administrators with preparing reports as requested.
• Assist counselors with various projects as needed.
• Maintain appointment calendar for counselors.
• Answer phones, process mail, fax and email documents as needed.
Required:
-High school diploma
-Experience in equivalent position
-Proficiency in Microsoft Word, Excel, Publisher, Google Docs, Google Drive, Student Data System - Infinite Campus a plus
-Strong customer service orientation
-Effective written and verbal communication skills
-Strong interpersonal skills
-Evidence of outstanding organizational abilities
-Operational knowledge of school related technologies such as computer
-Accurate keyboarding skills 55 WPM and proofreading skills
-Personal qualities that include punctuality, confidentiality, initiative, and a strong work ethic
-Evidence of team orientation and collaboration in the workplace
Desired:
-Post-secondary training in office management or related area
-Project management skills
-Ability to work in a fast paced environment
-Expert in multi-tasking
-Attendance is an essential function of this position
