The Human Resources Coordinator provides administrative support to the Director of Finance and Human Resources and assists with the day-to-day operations of the human resources functions and duties. The Human Resources Coordinator supports an employee-oriented culture that focuses on equity, quality, productivity, positive morale, creativeness and the recruitment and development of productive employees. This role provides administrative support to the human resource function as needed, including record-keeping, file maintenance and data entry. ESSENTIAL FUNCTIONS AND RESPONSIBILITIES: Prepares, duplicates and distributes letters, correspondence, reports, agendas, surveys, and other documents as directed. Answers telephone, takes messages, responds to emails and provides information. Routes, sorts, and distributes department mail as appropriate. Schedules meetings and appointments. Organizes and maintains an efficient filing system. Works with department administration to ensure collaborative communication between the district and Teachers on all/AESOP/FRONTLINE. Posts vacancies and assists in the hiring process for all positions in WECAN and by posting it where needed for recruitment purposes. Maintains personnel records. Prepares and sends staff conditional offers and employment letters. Distributes copies to appropriate personnel. Assists with the preparation of the performance review process and creates standard evaluation documents to be used with non-certified staff. Coordinates correspondence and recordkeeping involved in hiring employees. Includes keeping record of applications, posting positions, monitoring timelines, serving as contact person for applicants who call or come in, scheduling interviews, and keeping track of the intake of necessary materials and correspondence with applicants. Monitors receipt of all hiring paperwork for staff including completing I-9 forms and updating new employee hiring checklists. Prepares “change in assignment” or “transfer” letters for all internal hires or in-district transfers. Assists with preparation, distribution, and collection of new hire and annual contracts for certified staff, notices of reasonable assurance for non-certified staff, contracts for administrators, and annual compensation notices for all staff. Enters and ensures integrity of data, including staff information, salary, experience, address, pay, and assignment. Assists with preparation and submission of all required state, federal, and district personnel reports. Follow up with employees on onboarding checklist items not completed such as TB assessment, training videos, etc. Support the recruitment and staffing needs of the district. Completes and sends Verification of Employment forms for staff including but not limited to PSLF or TEPSLF. Updates Employee manual to accurately reflect policy and guidelines in the district. Send resignation letters to staff. Handles discipline and termination of employees in accordance with district policy and immediate supervisor of employee. Investigates, documents and manages Title XI staff related reports. Conducts off-boarding interviews and maintains off-boarding checklist. Assists with staff orientations. Reviews all time off requests for employees including personal time, vacation, sick, and unpaid. Handles the FMLA leave administration process from the employee’s initial notice of the need for leave to the return to work. This includes gathering and completing all required paperwork, determining leave eligibility, designating leave as FMLA-qualifying, requesting medical certification as needed, and accounting for intermittent and reduced schedule leave use. Oversees the return-to-work process for employees returning from extended FMLA, workers’ compensation, or other leave(s). Facilitates other leave requests, which may include accommodation requests under the ADA. Creates and sends correspondence regarding requests for time off. Assists staff with completion of DPI license applications. Maintains licenses and updates license information in database. Sends out annual notifications to staff whose licenses are expiring and monitors renewal and return. Conducts orientation with new administrators to familiarize them with district systems (WECAN, Alio, etc.) Maintains, coordinates and follows up with worker’s compensation requirements and submissions. Provides assistance and input to the Director of Finance and Human Resources regarding presentations, handbook changes, or other items as requested. Organizes and participates in the human resources sub-committee meetings and agenda/goal setting and other sub committees as designated by management and the board of education. Assume responsibility for individual professional growth and remain current in laws, regulations and best practices of position. Performs such other duties as assigned.
Education/Degree/License: Bachelor's degree in Human Resources, Business Administration, or related field required. Professional qualifications: Ability to work professionally and effectively with teachers, pupils and administrators. Excellent written and verbal communication skills. Excellent analytical and problem-solving skills. Excellent organizational skills and attention to detail. Demonstrate aptitude and competence for assigned responsibilities Trustworthy - maintain confidential information and strictest confidence. A positive and friendly demeanor that shares a willingness to help others in the front office and/or building. Experience A minimum of three years of human resource management experience is preferred. Knowledge of the leave requirements and other legal protections afforded by the FMLA, ADA, and other applicable laws.
